1. Definitions and interpretation
Back to topIn these Service Specific Additional Terms, the following terms have the following meanings:
| "Delegate" or "You" | an individual registered to attend the Event; |
| "Event" | any conference, summit, forum, awards ceremony, workshop, masterclass, roundtable, webinar, or other gathering organised, hosted, or produced by THE, whether held in person, virtually, or in hybrid format, and whether taking place at a venue, online platform, or any other location; |
| "Event Host Partner" | the third-party organisation that has entered into a commercial arrangement with THE to host an Event, typically a university, higher education institution, research organisation, or other body that provides the venue, campus, or facilities, at which the Event takes place, and which may also contribute to the Event programme, content, or delivery. |
| "Event Sponsor" | any other third-party organisation (other than the Event Host Partner) that has entered into a commercial, sponsorship, collaboration, or other contractual arrangement with THE in relation to an Event, including (without limitation) sponsors, exhibitors, academic or industry collaborators, media partners, supporting organisations, and content or programme partners. Event Partners are not agents of THE, and any goods, services, communications, offers, or content provided by an Event Partner are provided by that Event Partner on its own behalf and subject to its own terms and any applicable privacy notices. |
| "Fee" | the amount payable by each Delegate for attending the Event; |
| "Organiser" or "THE" | THE World Universities Insights Limited and its subsidiaries. |
2. Bookings, Fees and Cancellations
Back to top2.1 All tickets are subject to availability and acceptance by the Organiser, which will be confirmed by e-mail upon receipt of the completed order form and the related Fee if required.
2.2 The Fees do not include travel to or from the Event or any accommodation costs incurred.
2.3 If you wish to cancel your attendance at an Event for which a Fee is payable, the cancellation charges shall apply as follows:
(a) if cancellation is requested 30 days or more before the first day of the event, the participant is eligible for a 100% refund, or a 100% credit if payment was requested by invoice.
(b) if cancellation is requested 15–29 days before the first day of the event, the participant is eligible for a 50% refund, or a 50% credit if payment was requested by invoice.
(c) if cancellation is requested less than 15 days before the first day of the event, the participant is not eligible for a refund, or is required to pay in full if payment was requested by invoice.
(d) in all cases, the credit from the ticket can be transferred to another THE event. Once a ticket has been transferred to another event, it cannot be transferred again or refunded.
2.4 Notice of cancellation must be given by emailing events@timeshighereducation.com. Please note that refunds may take up to 14 working days.
2.5 In the event that the Organiser postpones an event, delegate Fees that have been paid as of the postponement date will be credited towards the rescheduled event date. If the Delegate is unable to attend the rescheduled event, the delegate is eligible for a 100% refund or can transfer their ticket to a future THE event.
2.6 The Organiser is not responsible for any loss or damage resulting from the substitution, alteration or cancellation/postponement of an event (including, but not limited to, travel and accommodation costs).
2.7 Speakers and sessions are confirmed at the time of publishing, however circumstances beyond the control of the Organiser may require substitutions, alterations or cancellations of the speakers and/or sessions. As such, the Organiser reserves the right to alter or modify the advertised speakers and/or sessions.
3. Delegate Attendance
Back to top3.1 The Organiser reserves the right, without any liability, to refuse You admission or eject You from the Event for failure to comply with these Terms; or if in the Organisers opinion You represent a security risk, nuisance or annoyance to the running of the Event.
3.2 You acknowledge that official photographers and film crews will be taking photographs and recording at the Event. You agree to permit the Organiser, or any third party licensed by the Organiser, to use and distribute such photography and footage, which may feature images of You for archival, editorial and promotional purposes in any and all media, without liability, compensation or credit. Please inform the photographer if You do not wish to be included in any individual or group photographs.
3.3 You are permitted to make reasonable video or audio recordings and to take photographs at the Event, in each case for your own personal use. You must not make video or audio recordings of the whole (or substantially the whole) of the Event or of any session within the Event, or use any recordings or photographs for commercial purposes, unless expressly permitted by the Organiser.
3.4 You are responsible for arranging your own appropriate insurance cover in connection with your attendance at the Event. The Organiser shall not be liable for any kind of loss or damage to You or your personal property, unless caused by our negligence.
4. Your Details
Back to top4.1 By submitting registration details, You agree to allow the Organiser to contact You as required for the organisation and administration of the Event.
4.2 Your name, job title, organisation and country will be placed on the attendee list for the Event. This list will be provided to the Event Host Partner and Event Sponsors and to all Delegates, so that they can see who is at the Event for the purpose of networking and meetings. If You do not wish to be included on this list, please email events@timeshighereducation.com.
4.3 You agree that the Organiser shares your contact details with the Event Host Partners and Event Sponsors and that such parties may contact you for their own marketing purposes by email or phone. You may revoke this consent at any time by sending an email to events@timeshighereducation.com.
4.4 The Organiser will only contact you for marketing purposes to the extent that you expressly consent to this (for example, by opting in during the registration process). You may revoke this consent at any time by sending an email to events@timeshighereducation.com
4.5 The Organiser will only contact you for editorial purposes to the extent that you expressly consent to this (for example, by opting in during the registration process). You may revoke this consent at any time by sending an email to events@timeshighereducation.com
4.6 The Organiser may share the information provided by You, with our employees, sub-contractors or subsidiaries in connection with the administration of the Event and to ensure that your notified requirements (if any) are met.
5. Access to Events for Former Employees
Back to top5.1 Events prioritise current industry professionals and relevant stakeholders to maintain the integrity and exclusivity of its participant pool.
5.2 Former Employees of THE are strictly prohibited from attending Events. A Former Employee is defined as an individual who was previously engaged as either an employee or contractor by THE and whose relationship has been terminated, whether voluntarily or involuntarily.
5.3 During the registration process for an Event, all Delegates will be required to disclose any past engagement with THE. Failure to disclose accurate engagement history may result in denial of access or removal from the Event's premises if discovered later.
5.4 THE reserves the right to verify the engagement history of registrants through internal records or other means deemed appropriate. Any attempt to misrepresent past employment with THE will lead to immediate disqualification from attending the conference.
5.5 Former Employees who believe their circumstances warrant an exception to this policy may submit an appeal to THE. Appeals will be reviewed on a case-by-case basis, and decisions made by THE will be final.
5.6 All information provided regarding past engagement with THE will be treated with strict confidentiality and used solely for the purpose of enforcing this policy.
5.7 THE reserves the right to deny access to individuals who violate this Clause 5 or attempt to circumvent its provisions. Any individual found to be in breach of this Clause 5 may be subject to immediate removal from the conference premises and may be prohibited from attending future Events organised by THE.
