Administrative Coordinator, Office of the Ombuds
Report directly to the University Ombuds, provide a broad scope of administrative support to the University Ombuds and the Associate Ombudsman to assist with ensuring the effective operation of the Office. Understand the mission of the Office of the Ombuds and maintain strict confidentiality in performing all aspects of the position. Exercise consistent discretion and act with extreme tact and diplomacy in the handling of highly confidential matters. Maintain the Front office and function as the initial contact to visitors and callers. Handle confidential information and sensitive inquiries using the highest level of discretion and tact in all aspects of the role. Respond to telephone, letter, fax, and email inquiries from the BU community. Schedule meetings, coordinate appointments and maintain and update calendars. Administer all matters related to purchasing, travel and budget. Maintain and update databases and records. Prepare data summaries and graphics. Maintain and update the Offices website. Assist with outreach efforts including coordination, scheduling and confirmation of events, as well as creating, updating and stocking outreach materials. Proofread materials for professional development workshops and other activities. Perform research, proofreading, data entry and data-base management using various information systems and programs.
BA/BS and three to five years of related experience. Proficiency in using various information systems and programs including Excel, Word, SAP, as well as other products at an advanced level. Ability to demonstrate excellent professional judgment and problem solving skills in dealing with highly confidential matters.
