Reception and Administration Assistant

Do you have experience being the face of a busy reception, or have you worked in a busy customer service role? Are you a confident communicator who can remain calm, professional and friendly under pressure? Are you organised, able to keep accurate records and can you manage multiple tasks at the same time? 

You will join a friendly team to provide a professional front line reception service dealing with a wide range of visitors and enquiries in person, by phone and email. You will offer information about services and process with the Service and across the institution where relevant. You will support service administrative processes, maintain reception logs, arrange bookings and ensure visitors are signposted to services as appropriate. 

The Front of House in Disability Services supports five services (Disability Advisory Team, Support Worker Team, Leeds Assessment Centre, a team from Student Counselling and Wellbeing and the RNIB’s Transcription Service) of around 100 staff. In peak times we expect 100 visitors, 20 phone calls and upwards of 50 emails per day. On average 75 student appointments a day operate from our offices.  

You will need to have a strong customer service focus and excellent verbal and written communication skills to offer detailed and complex information about internal and external processes relating to support for disabled students; effectively signposting students to other services and departments across campus. You will need to be able to maintain confidentiality and will have, or be prepared to develop, knowledge of issues relating to equality and diversity. You will also have excellent IT skills and be competent in using Word, Outlook email and Excel.
