Job Description

Plan, organize and coordinate section-wide conferences, international symposiums and special events, including reserving conference rooms, sending and tracking invitations, procuring food and beverage, and ensuring vendor payment. Set up room and equipment (tech, conference call if necessary, projector, etc.) Prepare agenda, produce materials & presentations slides. Track attendance. Record and distribute meeting notes. Assist with hire set-ups (assign and issue keys, lockers, lab coats, beepers, etc to new hire, set up desk area, request logins, etc.). Provide administrative support to the Section, including, but not limited to: scheduling appointments, scheduled meetings, following up on meeting-generated tasks, preparing documents and presentation slides, updating webpage, etc.
