The Office of the Vice President of Development oversees all individual giving teams for the office of Development & Alumni Relations, responsible for raising capital gifts of six-figure-plus toward the Campaign for Boston University. Teams reporting to the VP Development include International fundraising, Principal Gifts, Planned Giving, Leadership Gifts and 14 of BU’s 17 Schools and Colleges. This Office collaborates closely with the Sr. Vice President, the President’s Office, the schools/colleges Deans and development staff, as well as Alumni Relations to steward our top prospects and fund priorities at the University. 


A key member of the Development team, the Executive Assistant, is responsible for managing operations and coordinating strategic initiatives for the Vice President of Development. This includes organization, planning and communication with every department within development and alumni relations. This position acts as first-line representative and liaison to all internal and external constituencies on behalf of the VP, and has frequent contact with the offices of the senior vice president, deans, other University administrators, trustees, alumni, parents and friends of the University. The Executive Assistant develops, manages and monitors key strategic initiatives such as operating plans for 17 Schools and Colleges, Leadership Gifts, Principal Gifts and Planned Giving. The executive assistant serves as an active member of the development team by joining the Vice President and gift officers in group meetings with fundraisers to develop strategy for seven-figure principal gift prospects. The Executive Assistant prepares reports prior to the prospect strategy meetings and works extensively with confidential briefings and prospect research.

• Coordinate department-wide strategic initiatives such as individual prospect review meetings with DAR staff as well as Deans’, multi-school DAB events, and school-based development best practices in conjunction with the VP of Development. Tasks include managing multiple calendars, preparing and distributing reports and follow-up materials, and overseeing RSVP’s for multi-school events. Manage reports and prospect data in Blackbaud eCRM system, the constituency relationship management system used by Development and Alumni Relations (DAR).

• Manage Operating Plans across 17 schools and colleges, 5 Leadership Gifts regions, 5 Principal Gifts regions and Planned Gifts. Provide training and support to administrative staff and Assistant Deans pulling data from BBEC to provide consistent, uniform giving information and projections for the next fiscal year. Schedule review meetings with supervisors and support Director of Principal Gifts in adding constituents to the pipeline for the President. Prepare counterpart documents for performance evaluations of individual gift officers.

• Work with the AVPs, Deans of School Development and Global Leadership Development to maintain and communicate project information to the staff. Coordinate event logistics, staff events and assist in overall alumni events. Create and execute alumni and other management reports.

• Perform administrative tasks for the Vice President of Development such as: prepare, review, edit and distribute reports, correspondence, memos, PowerPoints and other communications. Arrange and manage travel plans and schedule for the VP and serve as the central contact when he/she is on the road. Answer and screen phone calls, field requests and questions from a wide variety of internal and external constituencies, including trustees, alumni, donors and University administrators.

Required Skills

Candidates must have three to five years’ experience, a bachelors’ degree is required. Additionally, written communications, analytical skills, collaboration, and project management skills are required. Strong computer, organizational and interpersonal skills are required, as well as the ability to prioritize the workload.
