Position Overview

The Training Assistant will support administration of medical education and training programs within the Cairns team, including the Clinical School and Generalist Medical Training,in the College of Medicine and Dentistry. The incumbent will be the first point of contact for academic staff, students, medical education staff, and registrars and will provide administrative support for the College’s teaching, learning and training programs.

The Training Assistant will respond to queries, schedule meetings, coordinate appointments, organise travel and purchasing, coordinate events, maintain relevant data systems, and provide direct administrative support to academic staff including medical educators, registrars and supervisors, and the College management team.

Division of Tropical Health and Medicine

The Division of Tropical Health and Medicine encompasses human and animal health professional areas and related biomedical science disciplines. The Division has a particular focus on the health of rural, remote and Indigenous Australian communities and tropical medicine.

College of Medicine and Dentistry

As part of the Division of Tropical Health and Medicine the College of Medicine and Dentistry promotes, fosters, supports and administers quality teaching and research at JCU in the areas of Medicine, Dentistry and Pharmacy, with a focus on the needs of rural, remote and underserved communities, tropical medicine and the health of Aboriginal peoples and Torres Strait Islanders. Working in a collaborative leadership model with the Office of the Division, the other Colleges and the Mount Isa Centre for Rural and Remote Health, the College of Medicine and Dentistry contributes to advancing the strategic agenda and to strengthening partnerships and engagement.

Principal Accountabilities

  1. Provide administrative assistance to academic and medical education staff and supervisors responsible for learning and teaching of students and registrars within the clinical training site.
  2. Assist academic and medical education staff to develop, maintain and distribute handbooks, calendars and materials, organise print and electronic materials, upload relevant materials to the Learning Management System and maintain information on clinical training databases.
  3. Organise meetings, workshops and events including room bookings, catering, videoconference links and calendar invitations.
  4. Book staff, student, registrar and visitor travel and accommodation, complete and maintain documentation required for purchasing and travel, and process payment requests related to tax invoices for services or goods received.
  5. Assist with data entry and maintenance of databases and maintain and file records.
  6. Support the University's commitment to the principles of reconciliation, which exemplify respect for Aboriginal and Torres Strait Islander heritage and the valuing of justice and equity for all Australians.
  7. Demonstrate a commitment to the University values.
  8. Support the principles of the TropEco program and engage in commitment to JCU sustainability goals and objectives.

Generic Accountabilities 

There are generic responsibilities that apply to all James Cook University staff. 

  1. The Training Assistant is required to observe the lawful and reasonable directions, policies and decisions of the University Council, understand and comply with the Enterprise Agreement, the Statutes and Rules of the University, the policies and decisions of the University Council and other appropriate University authorities, as in force from time to time.
  2. The Training Assistant is required to demonstrate a personal commitment to ensure personal safety and the safety of others and contribute to the continuous improvement of our WHS performance. This includes the effective implementation and compliance with James Cook University WHS policies, procedures and safe systems of work, together with all relevant legislation, duties and obligations. Contribute to the continuous improvement of our WHS performance.
  3. The Training Assistant is required to exercise proper discretion in all matters affecting the well-being of the University which involve public writing or speaking in accordance with the University’s Code of Conduct. 

Special Conditions

  • It is a requirement of this position to hold an ‘C’ Class Queensland driver’s licence.
  • It is a requirement of this position to travel within the region and to other College locations in North Queensland which may include overnight stays.
  • It is a requirement of this position to work after hours on occasion.

Essential

  1. Diploma qualification or Certificate IVin Business Administration or related field and relevant administrative work experience in medical education programs,or an equivalent combination of experience and/or education and/or training.
  2. Demonstrated effective written and interpersonal communication skills in dealing with people from a variety of backgrounds with attention to detail.
  3. Demonstrated experience with relevant computerised systems and/or databases.
  4. Demonstrated excellent customer service skills in managing high numbers of inquiries via phone and email, utilising problem solving skills to provide information and advice on policies and procedures showing respect and integrity.
  5. Demonstrated effective organisational and time management skills with ability to prioritise to meet competing deadlines.
  6. Ability to work independently as well as part of a team.
