Description of Work Unit
The Department of Journalism and Media Communication teaches classes in journalism and technical communication skills and prepares students for careers in television news and video production, news-editorial journalism, public relations/communication management, and technical-specialized journalism. Faculty also conduct extensive funded research and provide professional liaison and outreach programs to Colorado media and communication departments.
The Undergraduate Program Coordinator within the Department of Journalism and Media Communication in the College of Liberal Arts is a 12-month, full time Administrative Professional position. The Undergraduate Program Coordinator plays a critical and supportive role in strengthening departmental efforts to provide quality advising and promote undergraduate student success and will contribute to the department’s ongoing initiatives to build and support a modern curriculum that will serve a diverse and welcoming community of students, staff, and faculty.
The primary functions of the Undergraduate Program Coordinator are to oversee all administrative details of the undergraduate program, serve as Key Adviser for the major, serve as academic adviser and faculty liaison for two department minors (Media Studies, and Technical and Scientific Communication), as well as two interdisciplinary minors (Music, Stage and Sports Production, and Information Science and Technology), and to coordinate undergraduate programs that will support recruitment and retention of a diverse and inclusive student body, providing students with an excellent undergraduate educational experience. This includes courses and degree programs centered on campus, and offered online.
Duties include: meeting with prospective students in high school and from junior colleges, advising students, helping with scheduling and promoting of coursework according to demand, connecting students to faculty for advice and mentorship, maintaining student records, assisting with course transfer re-evaluations, admitting students transferring into the department, programming various events throughout the year for current and prospective students, interacting with faculty members, and partnering with campus offices. The Undergraduate Program Coordinator works closely with the Internship Coordinator, Academic Success Coordinators, and faculty, and reports to the Department Chair. Additionally, this position will communicate regularly with alumni, will assist with the development of promotional materials for undergraduate programs, and will support department efforts and events in partnership with the Colorado Student Media Association, a high school organization that brings significant numbers of prospective student to campus each fall.
Required Job Qualifications
Minimum of a bachelor’s degree AND at least 5 years of experience in academic advising working directly with students in both a junior college environment, and in a traditional college/university setting.
Preferred Job Qualifications
- Completion of a BA Degree, or an academic minor in journalism, media, or communication.
- Clear understanding of the wide variety of writing, production, workshop, and conceptual courses in an updated journalism/media/communication program.
- Extensive experience advising students in journalism, media and communication.
- Clear, demonstrated understanding of how to leverage other liberal arts disciplines with curricular opportunities in journalism, media and communication.
- Knowledge of department, college, and university resources for student success.
- Strong interpersonal, oral, and written communication skills.
- Proven ability to work collaboratively in a team-oriented environment.
- Experience with organizing and participating in outreach activities.
- Demonstrated ability to do detailed work, prioritize multiple tasks, and meet deadlines.

Job Duty Category Key Adviser Duty/Responsibility
- First point of contact for current and prospective CSU students, parents, faculty, and staff.
- Liaison with College of Liberal Arts including offices focused on recruiting, communication, and undergraduate success; Collaborative for Student Achievement, Registrar’s Office, Admissions, Honors Program, CSU Online, International Programs, College of Liberal Arts recruiting and undergraduate committee, and other campus entities.
- Serve on Undergraduate Committee, Internship Committee, and others as assigned.
- Manage curriculum, registration, and admission issues and appeals and make recommendation to the department chair.
- Evaluate transfer and Study Abroad credits.
- Assist current students, prospective students, and their families to understand JMC curriculum and opportunities within department.
- Assist with Ram Welcome, Commencement, and other annual activities as needed.
- Strategically advise undergraduate students regarding majors, curriculum matters, course offerings, degree plans, and progress towards degree completion. Assist with short-term and long-term planning, including career planning.
- Make referrals and connections to appropriate department and campus resources to promote student success.
- Provide major and career advice for CSU students seeking to change major to Journalism and Media Communication.
- Participate in student recruitment efforts; meet with and advise prospective students and their guests. Coordinate with College of Liberal Arts recruiter on prospective student visits and departmental tours.
- Participate in campus-wide intervention strategies.
- Represent department in recruiting efforts at campus meetings and relevant academic conferences.

- Develop, edit, and update advising and informational materials for accuracy and clarity.
- Manage procedures for admission, registration restrictions and overrides, and appeals.
- Review catalog copy and other official university materials for accuracy.
- Assist Department Chair with undergraduate departmental policies and procedures such as class enrollments and capacities, scheduling of classroom and online courses including course drafts, registration restrictions and overrides, and SCAIT.
- Monitor grade submission at the end of each semester and follow up on missing grades.
- Provide service to the department and initiate special projects as requested by the Department Chair.

- Advise students in Technical and Science Communication minor, Media Studies minor (last names A-M), Music, Stage and Sports Production interdisciplinary minor, and Information Science and Technology interdisciplinary minor. Inform and help students understand and enroll, meet graduation requirements, and develop academic plans for academic miors. Complete graduation contracts.
