Position Overview

The Training Assistant supports the administration of the Generalist Medical Training (GMT) education program within a designated Regional Node or GMT training site in accordance with College and Australian General Practice Training (AGPT) requirements. The incumbent will be the first point of contact for all Medical Education staff and Registrar enquiries and provide administrative support for the teaching and learning program. The Administrative Assistant will respond to queries, schedule meetings, coordinate appointments, organize travel and purchasing, coordinate events, maintain relevant databases and spread sheets and provide direct administrative support to Medical Education staff, Registrars, Supervisors and the GMT management team.

Mount Isa Centre for Rural and Remote Health

Mount Isa Centre for Rural and Remote Health is part of a national network of university departments of rural health in the Division of Tropical Health and Medicine with nodes in Mount Isa, Cloncurry and Long reach. MICRRHs footprint extends from the lower Gulf and across the Central and northwest regions of outback Queensland. Externally funded by the Department of Health as a health and health work force strategy with a particular focus on remote, rural and Indigenous health. MICRRH collaborates closely the communities, services and people of the region and with the Colleges and their schools within the Division towards achieving this.

Generalist Medical Training

Generalist Medical Training (GMT) is a unit within James Cook University’s College of Medicine and Dentistry that is contracted by the Australian Government Department of Health to deliver the Australian General Practice Training (AGPT) programin northwestern Queensland.

The AGPT program is a postgraduate vocational training program for medical graduates who are pursuing a career in the specialty of General Practice. The program provides training to wards Fellowship of the Royal Australian College of General Practitioners (RACGP) and the Fellowship of the Australian College of Rural and Remote Medicine (ACRRM).

Principal Accountabilities

  1. Provide administrative assistance to Medical Education staff and Supervisors responsible for the teaching of Registrars.
  2. Assist Medical Education staff to develop, maintain and distribute training post handbooks, calendars and materials, organize print and electronic materials, upload relevant materials to the Learning Management System and maintain training post information on the GMT website.
  3. Organise meetings, workshops and events related to Registrar training requirements, including room bookings, catering, video conference links and calendar invitations.
  4. Book staff, Registrar and visitor travel and accommodation, complete and maintain documentation required for purchasing and travel, and process payment requests related to tax in voices for services or goods received.
  5. Assist Training Officers by providing data entry and maintenance of databases as well as maintain and file records.
  6. Support the University's commitment to the principles of reconciliation, which exemplify respect for Aboriginal and Torres Strait Islander heritage and the valuing of justice and equity for all Australians.
  7. Demonstrate a commitment to the University values.

Generic Accountabilities

There are generic responsibilities that apply to all James Cook University staff.

  1. The GP Training Assistant is required to observe the lawful and reasonable directions, policies and decisions of the University Council, understand and comply with the Enterprise Agreement, the Statutes and Rules of the University, the policies and decisions of the University Council and other appropriate University authorities, as in force from time to time.
  2. The GP Training Assistant is required to demonstrate a personal commitment to ensure personal safety and the safety of others and contribute to the continuous improvement of our WHS performance. This includes the effective implementation and compliance with James Cook University WHS policies, procedures and safe systems of work, together with all relevant legislation, duties and obligations. Special Conditions

  • This position may be required to travel within the region and to other GMT locations in North Western Queensland and may include overnight stays and afterhours work on occasion.
  • The incumbent is required to hold a current ‘C’ class Queensland Driver slicence.

Selection Criteria

Selection and appointments will be assessed against selection criteria.


  1. Diploma qualification or Certificate IV in business administration or equivalent field and relevant administrative work experience in medical education programs or an equivalent combination of experience and/ or education and/ or training.
  2. Demonstrate defective written and interpersonal communication skills in dealing with people from avariety of backgrounds with attention to detail.
  3. Demonstrated experience with relevant computerized systems and/ or databases.
  4. Demonstrated excellent customer service skills in managing high numbers of inquiries via phone and email, utilizing problem solving skills to provide information and advice on policies and procedures showing respect and integrity.
  5. Demonstrated effective organizational and time management skills with ability to prioritiese to meet competing deadlines.
  6. Ability to work in dependently as well as part of a team.


  1. Knowledge of medical training and the GP training environment in rural and remote Australia.
  2. Knowledge of University teaching and administrative systems, procedures and business processes.
