Reporting to the Director of Prospect Management and Research, the Assistant Director of Prospect Research for Academic Regions is part of the Prospect Management and Research (PMR) team. PMR is responsible for prospect research, prospect management, strategic planning, and market research, providing information, analysis, and management tools to support effective fund-raising programs for the Institute.

The Assistant Director of Prospect Research for Academic Divisions provides prospect research and strategic support for effective fund-raising at the major gifts level ($100K+) and principal gifts level ($5M+). This individual works regularly with various DIR staff members to ensure the proper operation of the prospect pipeline at the major and principal gifts level and provides strategic and collaborative advice for advancing fundraising at this level. In addition, he/she support research requests from assigned fundraisers supporting the Academic Divisions. Additionally, the Assistant Director manages one prospect research analyst.

Job Duties

Prospect Research:

  • Analyze and synthesize accumulated financial, philanthropic and affinity data on individuals, corporations and private foundations to assess prospects, giving capability, philanthropic tendencies, and appropriate potential solicitors.
  • Think critically and analytically in order to initiate and perform complex analyses to provide strategic planning support to increase the effectiveness of fundraisers.
  • Respond in a timely manner to inquiries about prospects utilizing paid subscriptions and standard public information sources through advanced searching techniques.
  • Strategize and partner with prospect research staff, prospect management colleagues, and the principal gifts team to support the development of high-capacity portfolios.
  • Populate DIR’s database with current information on prospect careers, financial assets, interests, relationships, affiliations and potential for philanthropic support.
  • Analyze individual wealth indicators, including salary, stock, real estate and other assets, to determine overall financial capacity and solicitation potential including interpreting liquidity events and their relevance to solicitation strategies and timing.
  • Review daily media alerts on key prospects, post relevant stories and share information relevant to prospect strategies with fundraisers.

Academic Prospect Research Liaison:

  • Design and conduct proactive screening projects to identify new prospects. Stay abreast of new developments in external and internal screening products/techniques and how they can help prospect identification efforts.
  • Participate in portfolio and prospect review meetings for assigned fundraisers
  • In support of Major Gifts strategy meetings, compose written communications that highlight key areas of prospect information.
  • Partner with major gift officers and others to manage proposals, projects, planned solicitations and assignments. Also, work with major gift officers to determine appropriate solicitation strategies for new and existing prospects.
  • Produce and report various findings to the Academic Division Development team.

Leadership:

  • Management responsibility for one research analyst, including hiring, mentoring, goal setting, continuous feedback and performance evaluation.
  • Assists in developing metrics to determine and report departmental success. Participate in setting the agenda for staff meetings.
  • Work with the Director of PMR to set strategic goals for the department, and works with the PMR team toward achievement of strategic objectives.
  • Track research activity for internal prospect research metrics.
  • Be aware of Caltech activities and priorities, and the ability to suggest opportunities for beneficial prospect involvement.

Basic Qualifications

  • Proven ability to deal with confidential matters with tact and sensitivity
  • Skills in managing multiple high priorities, individually and for a team, with great attention to detail and execution
  • Five years in research, tracking or data analysis, with two or more years of direct, higher education, political, or non-profit experience
  • Familiarity with industry-standard sources of data
  • Demonstrated ability to contribute to strategic discussions, connecting the science of research with the art of relationship building
  • Excellent interpersonal skills. Comfort and experience communicating with individuals from diverse backgrounds by phone, email and in person
  • Strong sense of curiosity and critical thinking
  • Solid knowledge of MS Office Suite and familiarity with CRM databases
  • Bachelor’s degree, or equivalent
  • Demonstrated ability to lead within a team and promote partnership, while also working independently, setting priorities, juggling tasks as needed, and completing projects within specified timeframes amidst a face paced work environment
  • Excellent written communication skills to prepare detailed, analytical profiles for use by institution leadership
  • Strong analytical and intuitive thinking in a fast-paced environment is important.
  • Demonstrate the ability to practice and adhere to organizational values.
