Position Summary

The College of Health and Human Sciences (CHHS) development team seeks a full-time Development Operations Coordinator to oversee operational activities in support of the College’s fundraising goals. The Development Operations Coordinator manages and facilitates gift acceptance, fund creation, donor acknowledgement and stewardship, supervision of student workers, internal-facing components of scholarship administration, and special fundraising projects. The position will work with frontline fundraisers, faculty and staff from the eight academic units in the College, central University Advancement staff, and the CSU Foundation. The CHHS development office is located on the Colorado State University campus in Fort Collins, Colorado, and the Donor Operations Coordinator reports to the CHHS Director of Development.

Required Job Qualifications

  • Bachelor’s degree and minimum 2 years office experience

  • Create and maintain processes with frontline fundraisers, dean, and department heads to drive their donor interactions (write briefs, prepare materials, develop presentations, support proposal creation, new fund paperwork, gift transmittals, gifts in kind, letters of intent, and electronic giving administration as needed.)
  • Analyze and compile data and information from the donor database. Employing a strong attention to detail, create donor profiles as needed to guide Dean and faculty interactions with donors and prospects.

Duty/Responsibility

  • Execute effective donor stewardship events ranging in size from 5 to 300 guests, including: developing event vision and materials; coordination with CSU Events team; creating complex invitation lists; and managing event budget and logistics.
  • Manage development operations to empower Dean and development team to identify, qualify, cultivate, solicit, and steward alumni and other major gift ($25,000+) donors. Responsible for understanding and executing the Donor Bill of Rights, and maintaining positive donor relationships and confidentiality.
  • Resolve donor-related questions and concerns quickly and effectively.
  • Recommend strategic actions to senior leadership by pulling reports, creating presentations, and overseeing travel schedules to ensure the university and college fundraising priorities and goals are met.
  • Draft strong, clearly written communications (email and written correspondence, contact reports, etc.) to ensure flow of information is recorded accurately in Advance database.
  • Manage gift acknowledgement process (create thank you letters, weekly gift reports, and customized donor communications; track mailings.)
  • Independently manage the integrity of donor data and gift fund management (create new funds; write fund agreements; track proposals, contact reports, and pipeline information in the Advance database.)
  • Ensure accurate processing of donor gifts and manage gift funds in adherence with donor intent and University Advancement and Colorado State University Foundation policies.
  • Create and manage online giving pages and other fundraising appeals. Compile lists of donors and alumni for use by academic units for mail and email communications, event invitations, and solicitations.
  • Manage special projects as needed to support meaningful donor engagement (gifts, web and newsletter stories, and other recognition)
  • Manage timelines and responsibilities for several different projects at once.
  • Act as a liaison to College units, providing training and best practices for their own acknowledgements.

  • Act as liaison with the Associate Dean for Academic Affairs, Office of Financial Aid, and Development team members to facilitate internal scholarship administration process (maintain scholarship database, work with faculty committee on selection process, notify student recipients and steward scholarship donors.)
  • Allocate scholarship funds to students in alignment with donor wishes and committee selections, in adherence with Colorado State University Foundation guidelines.
  • Manage lists of scholarship donors and alumni for use by academic units for mail and email communications, event invitations, and solicitations.
