Description of Work Unit

 

The School of Music, Theatre and Dance (SMTD) works in support of the University, College and School goals of facilitating documentation of students’ progress in their academic programs and performance requirements, creation of materials in support of event productions, facilitating faculty in their classroom and performance needs, supporting official communications from School to college and university offices, providing information to the general public and delivering such services in a friendly, professional and collegial manner.

Position Summary

The School of Music, Theatre and Dance at Colorado State University seeks an energetic individual with a musical background who will support and promote the Athletic Bands, which currently includes the CSU Marching Band, the Basketball Pep Band, and the Presidential Pep Band.
The Athletic Band Support Specialist (ABSS) assists in planning and coordinating numerous large-scale events, assists with purchasing and budgets, represents SMTD to prospective students and their families in the region and at CSU, and serves as the Instrument Curator for all SMTD musical instruments.
The ABSS must be highly organized, and be able to work well with and provide excellent service to a variety of stake-holders, including: students, parents, faculty, alumni, and the general public.
The ABSS’s work schedule must accommodate attendance of events on evenings and weekends, as well as periodic travel for off-campus functions and/or football games.

Bachelor’s degree in Music

Demonstrated broad working knowledge of musical instruments

Experience coordinating large group activities and/or events
Proficiency using technology and student information systems which contribute to a data-driven recruiting environment
Candidate must be highly-organized, self-motivated, and self-sufficient
Enthusiasm for and interest in working with students
Experience with working within and maintaining a budget
Ability to identify and resolve problems in a timely manner

Essential Duties

Job Duty Category Athletic Bands Support Duty/Responsibility

Communicate with current athletic band students, prospective students, and parents via e-mail, telephone, and campus visits, using appropriate musical terminology. Schedules athletic band auditions.

Assists the Athletic Bands with music preparation and distribution. Employee must exhibit the ability to read music and transpose parts as needed. Needs to identify appropriate parts and distribute to the correct sections at rehearsals.

Coordinate athletic band promotions, recruiting and marketing with the SMTD marketing team. Participates in campus orientations to help increase athletic band enrollment.

Attendance needed at the first several home football games. Attendance at away games may also be needed, as requested by the Director.

Arrange and order all meals, transportation, housing and other logistics for marching band home and away games, bowl games, and other on and off campus functions.

Arrange and order all purchases for the athletic bands, which may include: uniform parts, staff apparel, music, equipment and supplies.

Reserve UCA rooms as needed for the athletic bands.

Coordinate with other band area staff at weekly meetings.

Coordinate field maintenance at the UCA Marching Band practice facility.

Administrative support for the CSU Marching Band Camp.

Assist with special Athletic Band events including, but not limited to, the annual parade of lights performance and parade preview at the UCA.

Percentage Of Time 60% Job Duty Category SMTD Instrument Curator Duty/Responsibility

Assigns instruments to faculty and/or students with a liability contract. Coordinates regularly with faculty for Techniques Classes to be sure course needs are met. Maintains an online system for students to make requests to check out specific instruments needed by an ensemble for a particular performance.

Must maintain an inventory of high-end instruments, general MB instruments, and loaned instruments. Assists in filing police reports for missing/stolen instruments and files insurance claims as needed. Facilitates loan program and contracts with outside agencies, e.g, Yamaha, Conn-Selmer.

Instrument Curator will set up and maintain a repair/maintenance schedule for all SMTD instruments, make all payments for repairs, and keep an updated inventory in conjunction with Property Management for insurance purposes.

Facilitator between faculty/students and repair technicians. Must be able to recognize when an instrument is in need of repair. Instruments are inspected for issues physically as they are handed out and again as they are returned. Maintains billing records to stay within a specific instrument repair budget by area.
Makes recommendations and obtains quotes for necessary instrument replacements. Liaise with faculty in the procurement of donated instruments, the purchase of new instruments, and for instrumental accessories required for their courses.
Responsible for bi-annual billing of student accounts for instrument rentals as necessary.
May serve as a work-leader over Graduate Teaching Assistants in regards to managing marching band instruments.

Percentage Of Time 30% Job Duty Category Budget Support Duty/Responsibility

Coordinate staff hiring and payment schedules.
Track and pay invoices and assist with band budget; meet weekly with the Director of Bands to update the athletics bands budget.
