Job Duties

  • Under minimal supervision, select from established Institute policies, procedures, and practices to accomplish assignments which require exercise of discretion and judgment
  • Apply advanced knowledge of accounting principles to accomplish projects/assignments
  • Ability to multitask and meet deadlines for assignments, completing them timely and accurately
  • Develop and review processes and procedures, and proactively make recommendations for improvements
  • Determine appropriate set up of project funding in Oracle, e-Builder and AiM CPPM project management systems, and process accordingly
  • Process transactions and adjustments in AiM Work Management System
  • Analyze proposals and costs to determine classification as capital or non-capital
  • Evaluate and review commitments, purchase requisitions, invoices, payment applications, check requests, deposits, funding, cost and charge adjustments, and process as needed. Approve financial transactions up to a specified dollar amount
  • Verify and track conditional and unconditional waivers and releases, and work with Project Managers to ensure all waivers are received in accordance with Institute policies
  • Analyze and review project funding and transactions, recommend and process appropriate adjustments, and close projects, in coordination with central Accounting department
  • Prepare complex reports for operations and plant funds. Analyze history and identify trends to support decision making of management
  • Analyze accounts, transactions and data to determine accuracy and to understand trends. Proactively make recommendations for improvements
  • Design management reports and conduct special accounting projects as needed
  • Apply advanced skills in providing accounting services; evaluate and apply policies, procedures, and processes to accomplish tasks
  • Provide leadership and guidance to support personnel in facilitating operational efficiency
  • Capable of solving complex problems; refer more complex issues to higher levels
  • Assist internal and external customers courteously, promptly and professionally
  • Interpret and effectively communicate accounting and purchasing polices to staff and customers; recommend appropriate action to be taken
  • May provide additional administrative and financial functions as needed
  • May provide assistance to internal and/or external auditors regarding audits of financial transactions, policies, procedures, and practices
  • Deliver proactive customer service and support on a regular basis to internal and external customers
  • Other duties as assigned

Basic Qualifications

  • Bachelor’s degree or equivalent experience (Minimum equivalent equals to a High School Diploma/GED certificate, plus 4 years of experience)
  • Plus at least 5 years’ of work experience in accounting or finance
  • Experience with MS Office programs essential
  • Solid knowledge of accounting principles is essential
  • Candidate must be able to communicate effectively in writing, by phone, and in person with people throughout the Institute and outside Caltech
  • Outstanding oral and written communication skills and ability to work effectively with fellow employees and management is required
  • The successful candidate must work with a high degree of detail and must be able to organize, manage and prioritize multiple tasks and deadlines

Preferred Qualifications

  • Experience with Oracle, Cognos, and/or AiM
