Job Summary

The purpose of Development and Institute Relations (DIR) is to foster a thriving and engaged community of support for Caltech. By connecting the people who share and support Caltech’s mission and values, we will ensure the Institute receives the necessary resources to achieve Caltech’s aspirations and sustain its excellence in teaching, research, and scholarship in perpetuity. The Caltech Alumni Association works in partnership with DIR and celebrates the unique value and character of the Caltech experience. The CAA empowers the alumni community to thrive and connect with Caltech, currents students, and each other.

In service to Caltech and the alumni community, we desire the following long-range outcomes for alumni engagement at Caltech:

The Manager, Student Programs works in the Office of Alumni Relations and reports to the Executive Director of the Caltech Alumni Association/Director of Alumni Relations. The successful candidate will develop and manage a student engagement program that leads students to become active, engaged alumni and compares favorably with the best in American higher education.

Job Duties

• Develop, lead, and implement a comprehensive program to help current students, both undergraduates and graduates, to see themselves as future alumni and become active, engaged, giving members of the alumni community in the first years after graduation and throughout their lives.

• Advance the strength of the relationship between Caltech and our alumni.

• Develop programs for key stages of the student experience (Frosh, Sophomores, Juniors, Seniors; New grad students, 3rd year grads, etc.) from the time they arrive on campus through graduation increasing awareness of the Caltech Alumni Association and their future role as alumni. Leverage, create, and celebrate Caltech traditions.

• Collaborate with partners across campus (especially the associate director, alumni career services, Career Development Center, Diversity Center, and Divisions) to bring alumni in person or virtually to share their advice, diversity of career paths, industry knowledge, connections, and life experiences with students. Alumni can also help students prepare for successful careers by teaching soft skills, mentoring, and interviewing. Help broaden students’ view of career options especially those outside academia.

• Provide consistent opportunities for students to have meaningful in person and virtual interactions with alumni during their time on campus.

• Support students’ transition to active, engaged and connected young alumni. After building connections with students during their time on campus, help them launch successfully from Caltech.

• Proactively engage alumni volunteers in helping address the needs of current students through carefully designed programs that enhance the quality of the student experience in meaningful ways.

• Increase opportunities for alumni to give back in relevant and meaningful ways.

• Launch and support a Student Alumni Council made up of undergrads and grads who work in partnership with the Caltech Alumni Association. Collaborate to inspire Caltech pride and strengthen the bond that current students have with the Institute, each other, and the entire alumni family.

• Support students’ transition to active, engaged and connected young alumni. After building connections with students during their time on campus, help them launch successfully from Caltech.

• Expand young alumni programming in partnership with volunteers and colleagues— both in person and virtually. Focus on young alumni as they first leave Caltech and the first ten years from graduation in order to help build lifelong connections.

• Utilize multi-channel platforms to engage with current students and alumni. Increase pride and awareness for current students of the significant impact of Caltech alumni and their diverse accomplishments.

• Manage program budget, track and analyze data for trends and impact. Report results through written and oral presentations.

• Staff committees or workgroups of the Caltech Alumni Association as needed. Participate in quarterly board meetings.

• Staff large alumni events such as Reunion Weekend as needed.

Basic Qualifications

• Bachelor’s Degree or equivalent.

• 3-5 years of experience in alumni relations, student affairs or related field.

• Higher education experience.

• Demonstrated success in program management & strategic planning.

• Exceptional writing, communication, and presentation skills.

• Ability to work productively and diplomatically in complex organizations.

• Ability to work in a hands-on environment with limited resources; demonstrated entrepreneurial spirit.

• Ability to build authentic and meaningful relationships with students and alumni.

• Self-starter with a positive attitude. Comfort and ease working with ambiguity and ability to re-prioritize projects to meet program and team goals.

• Must be able to work evenings and weekends and travel approximately 1-2 times per month.

• Demonstrate the ability to practice and adhere to organizational values.

• Patience and enthusiasm to learn and embrace the unique culture of Caltech.

• An authentic curiosity about science and technology, a strong appreciation for the extraordinary intellectual accomplishments and challenges of Caltech students, alumni and faculty.
