Job Description

The Patient Care Coordinator coordinates all patient requests and clinical scheduling flow for a specified Oral Surgery Group Practice doctor (as assigned). The responsibilities include desk operations and patient interaction when this doctor is in clinic. Excellent communication and customer service skills are required for this position, and a pleasant and caring attitude is necessary when interacting with patients, faculty, staff, and students.

Patient Services – Accurately scheduling appointments, follow-up appointments, and surgery per departmental protocol
-Verifying patient eligibility and benefits with patient's insurance company
-Obtaining appropriate HMO primary care physician referrals
-Registering patients in Windent (OSGP) and, if being seen at BMC, EWS and SDK at the time of the appointment
-Creating and/or verifying a record for the patient file
-Contacting doctor's offices to gather patient information and referrals
-Discussing and collecting fees
-Writing receipts for patient payment and third party payments
-Posting accurate visit charges
-Demonstrating knowledge of medical and dental insurance policies
-Escorting patients to seating in clinic exam rooms as necessary
-Problem-solving and multi-tasking to handle multiple patient needs simultaneously
• Checking availability of assistants for procedures
• requests for special equipment arranged
• preventing overbooking of appointments
• ensuring that all financial considerations are arranged prior to appointment

Administrative - Interacting with students and residents concerning patient care and meetings
-Answering and transferring telephone calls
-Screening phone calls: taking detailed messages or sending to voicemail
-Confirming and delivering facsimiles
-Pulling patients' charts for daily schedule
-Preparing clinicians' daily schedule
-Filing dictation in a timely fashion
-Filing patient information/charts in a timely fashion
-Maintaining patient records in a neat and orderly fashion
-Recording and tracking archival patient records in database

Required Skills

High School or GED Required; Associate Degree preferred. Must have at least 1-3 years of health care work experience experience either in a hospital or practice setting or in customer service or claims processing. Must have knowledge of health and dental insurance claims and benefits. Knowledge of medical and dental coding (CPT, ICD9 and CDT). Must be computer literate; ability to learn new systems and work with multiple systems/applications concurrently. Excellent problem solving skills. Attentive to detail. Excellent organizational skills, follow up skills with the ability to work in a fast-paced environment, to prioritize work effectively and to meet deadlines in time-sensitive situations. Excellent customer service skills. Ability to express self effectively verbally and in writing. Ability to interact effectively with patients, other department personnel and insurance company representatives.
