Position Summary

Under the supervision of the Director, the Project/Program Management Associate/Manager is responsible for organizing and leading teams to support cGMP campaign activities, as well as to support BioMARC’s overall facility and business operations. The Associate/Manager is required to build, maintain and utilize the basic infrastructure of each assigned project’s work plan (in collaboration with team leaders) to manage and coordinate each project team and successfully complete tasks on-time. More over it requires escalating levels of experience in project management and administrative task. A “Project” can be the scope of work related to externally funded deliverables or may be internally derived objectives.

Required Job Qualifications

Associate Level

  • Bachelors degree in the Sciences, Medicine, Business, Liberal Arts or other.
  • 0-5 years work experience

Manager Level

  • Bachelors degree in the Sciences, Medicine, Business, Liberal Arts or other.
  • 10+ years work experience
    OR
  • Masters degree in the Sciences, Medicine, Business, Liberal Arts or other.
  • 5+ years work experience.
    OR
  • PhD
  • 2 years work experience.

Preferred Job Qualifications

  • Work experience in a contract manufacturing organization.
  • Experience in office management/administrative support.
  • Experience in regulated environment.

  • Responsible for recognizing and managing a project’s mission, deliverables, resources, key participants (internal and external), deadlines, gaps and risks.
  • Develop and manage sophisticated schedules and planning tools for multiple departments using Microsoft Office software, such as MS Project, MS Excel, MS Visio, and others.
  • Independently analyze complex interdepartmental activities in relation to the project scope, schedule and budget to identify risks, contingencies and alternatives. Must consistently exercise discretion and judgment to meet project objectives.
  • To show proficiency in a wide range of project management skills, including maintenance of complex schedules and timelines, efficient contractual change control management, cross-team leadership, risk mitigation, client communications, etc.

  • Manage routine client communications including team meetings, client meetings, and intercompany document management. Assists with budget reports and progress reports. Must be able to communicate with industry and business experts effectively.
  • Required to manage and record complex meeting action/discovery items, prepare meeting agendas and disseminate project information.
  • Typically provides Human Resource Management support, as wells as guidance and/or supervision to other employees.
  • Supports BioMARC departmental managers/supervisors in the facilitation and motivation of project teams and team members.
  • Supports team leaders in identifying critical path issues/solutions and task/resource prioritization to maintain schedule and budget.
  • Keep the Director informed of the status of the each project’s deliverables, schedules, quality and deficiencies. Create/implement/execute written project work plans for manufacturing and/or scientific research projects.

Duty/Responsibility

  • Operational support: These tasks may include, but are not limited to, key records maintenance, compiling and analyzing data for reports, administrative and analytical tasks associated with the budget process, manage and record complex meeting action/discovery items, scheduling executive appointments and meetings, preparing expense reports, preparing/editing executive presentations, making travel arrangements, mentoring/leading the general administrative staff of the department, and other established general administrative requirements of the organization.
  • Coordinates strategic and tactical administrative tasks within the organization, other departments within BioMARC, the university and our sponsors. Applies extensive knowledge of the job skills, BioMARC and university policies and procedures to complete complex, specialized assignments/tasks in creative and effective ways. Comprehensive understanding of the general/technical aspects of the job. Works on assignments that are complex in nature and require considerable judgment, initiative, and technical/specialized knowledge to resolve problems and/or develop recommended solutions. Work is completed with minimal supervision and assignments may be completed without established procedures. May determine methods and procedures for new assignments.
  • Perform other duties as required.
  • Additional responsibilities include financial management of assigned contracts: PM may be expected to procure materials and equipment through the university purchasing system, manage pricing models and billing procedures; accurately forecast revenue, margins, bill rates and utilization; assure project’s legal and quality documents are completed and signed; manage project budgets; determine appropriate revenue recognition, ensure timely and accurate invoicing, monitor receivables as well as deliverables; follow-up with clients regarding unpaid or unrecognized invoices; analyze project forecasts and resource burn rates.
