- Opportunity to provide administrative support a growing research program within the Cardiovascular Discovery Group at the Kolling Institute, Northern Clinical School, as an Executive Assistant
- Full time, fixed term for 12 months
- Base salary $86,511 + 17% superannuation
About the opportunity
The Cardiovascular Discovery Group, located at the Kolling Institute within the Northern Clinical School, is seeking to appoint an Executive Assistant. The successful candidate will provide professional executive support, ensuring the effective and efficient delivery of day-to-day operational and administrative activities. Under the direction of the Operations Manager, the role will support the smooth running of the research program through responsibilities such as diary management, secretarial support, assistance with grant submissions, small event planning, management of enquiries and correspondence, and updates to social media and websites.
Your key responsibilities will be to:
- provide high level professional executive support and manage the daily operational and administrative activity of the work area
- deliver secretarial support, including preparing agendas under the guidance of the Operations Manager, taking minutes, and ensuring that appropriate actions and follow up are carried out
- manage the executive's calendar, appointments, travel, communications, and commitments, ensuring efficient time management
- provide administrative assistance for grant application submissions working closely with the Operations Manager
- assist with small event planning including domestic and international events
- support the Operations Manager in project tracking and reporting on outputs
- respond to enquiries, whether in person, by phone and email, from internal and external parties to the University
- facilitate the flow of information for commitments on behalf of the executive, including gathering background information and dissemination of information
- undertake other duties and projects appropriate within the classification level as required.
About you
- proven experience as an executive assistant or in an administrative role
- extensive experience in diary management and travel planning
- proficiency in Microsoft Office Suite, databases, Excel, and web-based software
- excellent planning, organisational and time management skills, including the ability to prioritise workload to meet multiple deadlines and maintain attention to detail in a high volume environment
- excellent interpersonal, verbal, and written communication skills with sound negotiating and conflict resolution skills and an extraordinary level of empathy and discretion in dealing with day-to-day operational matters
- strong problem-solving skills and the ability to use initiative and exercise sound judgement and ability to prioritise workload during busy periods
