The Institute of Psychiatry, Psychology & Neuroscience (IoPPN) is a Faculty of King's College London and the largest academic community in Europe devoted to the study and prevention of mental illness and brain disease.

The School of Mental Health & Psychological Sciences (MHaPS) is one of three schools under the IoPPN, comprised of the four departments of Psychology; Social, Genetic & Developmental Psychiatry; Health Service & Population Research; and Biostatistics & Health Informatics. With over 100 Principal Investigators, our research spans development from childhood to old age, encompassing basic research through to the development and implementation of treatments, services and policy.

About the role

An exciting opportunity has arisen to join the Mental Health & Psychological Sciences (MHaPS) Professional Services (PS) team and we are looking to appoint a highly efficient Business Operations Officer (Maternity Cover) to support administrative duties within the HR & Finance Cluster.

The role holder will work closely with the Senior Business Support Officer and Senior Business Manager to deliver support to the four Departments. We have a small, busy but friendly team that are working to strengthen the partnership between academics, researchers and professional services across the School, Faculty and University. The team were formed late last year as part of a faculty-wide reshaping and have already started to build strong working relationships across the school, faculty and our colleagues within the central directorate teams. The post holder will be key to maintaining and building on these existing relationships.

The role would suit someone who is able to effectively manage competing priorities, pay good attention to detail and has a willingness and the ability to effectively communicate to a range of stakeholders. We will provide training on the various internal systems that will enable the successful candidate to work proactively and independently to complete tasks. The role will provide a wide variety of experience and skills to the post holder and provide opportunities for personal development through working across HR & Finance administration as part of the overall operational management for the large and complex School. As a commitment to this, the successful post holder can spend up to 15% of their time contributing to their personal development and participating in cross Faculty / University initiatives (in discussion with line manager).

This is a hybrid role, and the post holder is expected to be on campus minimum 2 days per week. While individuals are designated primarily to a certain building/campus, the post holder will need to work across multiple buildings (Denmark Hill Campus and Guy’s Campus) and should remain flexible when asked to spend more than 2 days on any of our campuses.

This is a full-time position (35 hours per week) on a fixed term contract for up to 12 months (maternity cover)

About you

To be successful in this role, we are looking for candidates to have the following skills and experience:

Essential criteria

  1. Experience of using Microsoft Word, Excel and Outlook.
  2. Numeracy and financial management skills with ability to understand and analyse basic reports and datasets.
  3. Ability to autonomously prioritise workload and proactively work under pressure in a busy environment.
  4. Excellent organisational and administrative skills with a working knowledge of a range of practices used to deliver effective and efficient support.
  5. Good communication and interpersonal Skills. Ability to receive and relay information to relevant stakeholders at various levels.
  6. Committed to principles of culture, equality, diversity and inclusion.

Desirable criteria

  1. Working knowledge and experience of HR & Finance systems (Such as PeopleXD and Business World). Including relevant software and regulations.
  2. Experience of having worked within Higher Education or similar with detailed knowledge of policy and procedural challenges faced by sector.
  3. Experience of successfully managing a shared Mailbox using platform such as Outlook.
  4. Experience of having worked in either a dedicated HR or Finance department.
