About the role
King’s College London is seeking an Administrator, to join the established and successful MRC DTP Programme.
We are looking for an organised, and detail-orientated administrator to join our team to provide high-quality and flexible administration to all activity within the DTP, supporting students, working collaboratively with members of the DTP Executive Team, liaising with academics and central professional services staff across the College. The post will report to the DTP Manager, joining the MRC DTP Operations & Delivery Team.
The post will assist the DTP Manager with creating and maintaining student funding records, supporting student data entry updates and student record maintenance, using both internal and external systems and databases.
The post will schedule and service DTP meetings and forums (in-person and online), including circulating papers and agendas, minute-taking, monitoring actions, and booking rooms and catering. And support the administration and delivery of DTP events.
The post will support the administration of studentship recruitment, including advertising, downloading and processing applications, supporting shortlisting, organising interviews and preparing offers. You will work with other recruitment administrators sharing guidance and best practice.
Working with the Communications & Engagement Officer, the post will monitor and administer the shared mailbox, and support the maintenance of the DTP website and other communication channels, ensuring content is kept up-to-date and relevant.
The post holder will interact with a wide range of people across faculties and departments. As such it requires someone with a collaborative and a helpful approach with a flexible and adaptable manner. The post holder should be team-focused, with experience of providing strong administrative support to projects. Enthusiastic and confident, with a good level of education, previous office experience and excellent interpersonal, organisational, communication and IT skills. An important aspect of the role will be developing professional working relationships with both internal and external stakeholders, particularly the student and staff community.
This is a full-time post (35 Hours per week), and you will be offered an indefinite contract. The MRC DTP Operations & Delivery Team operates under a hybrid working policy, with the expectation to work 2 days a week (Monday and Wednesday) on campus, plus 3 days home working.
About you
To be successful in this role, we are looking for candidates to have the following skills and experience:
Essential criteria
- Educated to degree level, or equivalent qualification, or significant relevant work experience.
- Professional experience within business, administration, office management, or similar sectors.
- Strong proficiency in Microsoft 365 including Teams, SharePoint, and Outlook, and the ability to work on new systems.
- Excellent interpersonal and communication (written and oral) skills including the ability to draft emails, documents and correspondence and work with a broad range of stakeholders in a professional, approachable and assured manner.
- Strong planning and organisation skills, meeting deadlines with a flexible and adaptable approach to suit different administrative tasks, with the ability to respond to shifting priorities.
- Excellent numerical and data management skills and the ability to manipulate and interpret data via Excel.
- An understanding of event management and the commitment to working collaboratively to ensure a smooth running of events.
- Keen and proven attention to detail. The successful applicant must have a track record of meticulously completing tasks and projects with precision.
Desirable criteria
- Knowledge and experience of working in the higher education sector.
- Ability to learn new techniques and skills to support service delivery.
- Experience in or understanding of the use of databases, particularly student records systems (such as SITS) or website content management systems.
- Experience with core financial tasks e.g., budgeting, raising purchase orders and invoices.
- An understanding of EDI, wellbeing, engagement and workplace culture activities.
