Operations Project Officer

The role

The Advancement and Engagement Directorate within the University of Southampton is looking for a professional, efficient, and proactive Operations Project Officer, who will combine Executive Assistant responsibilities providing support to a small number of senior members of staff, with project administration responsibilities across several high profile and high impact development projects and initiatives. 

The role holder will develop high-quality relationships to enable the Directors and teams to function effectively in their roles. This element of the role will cover a variety of duties, including operational support, diary management and general administration. It will also require someone who is proactive and able to make decisions.

Additionally, the role holder will work collaboratively with the Head of Projects and Operations, providing project administrative support to projects and ad hoc activities.

About you

  • You will have experience within an Executive Assistant style role and/or with a project administration background. 
  • You will have excellent communication and interpersonal skills as well as experience in using the full Microsoft suite (including MS SharePoint and Teams) to schedule and deliver work effectively.
  • You will have the ability to demonstrate initiative and to prioritise your own workload whilst contributing to a team.  
  • With proven experience of diary management on behalf of others, it is also essential you are effective at minute taking, can handle potentially sensitive information discreetly and have a strong attention to detail.
