Job description

We are looking for a Research Funding Associate to join the King’s Pre-Award Team. The postholder will be part of a dynamic and flexible structure in the Pre-Award office at King’s and the post holder will: 

  • provide efficient and effective pre-award service for members of King’s College London staff who are engaged in research. 
  • have delegated authority and responsibility within certain limitations to prepare and submit official costs on behalf of the College.  
  • approve research applications.  
  • accept grants awarded. 
  • negotiate contractual conditions and contribute towards the formulation of policy on research matter and also develop (or continue to develop) their own expertise in research funding. 

The Strand based Campus team is supporting the faculties of Arts & Humanities, Business, Law, Natural, Mathematical & Engineering Sciences and Social Science & Public Policy.  

This role will have primary responsibility for supporting Natural, Mathematical & Engineering Sciences working closely with their current Research Funding Associate and when required support the other faculties falling under the remit of the Strand Campus.  

There will be an expectation to also support the rest of the Pre-Award team when necessary (such as during busy periods and due to sickness, annual leave) - with research costing/application/contract support - as needed. 

King’s has a hybrid working policy and the post will primarily be based at the Strand Campus, however flexibility is required to be at any Campus where needed. Flexibility with regards to location of work will therefore be required. 

Candidates should have experience of supporting grant applications, preferably in a university environment. Experience of advising on project budgets is desirable but not essential. This role will be subject to developments and adaptations according to institutional needs. Resilience and capacity to adapt in constant changing environment is an essential part of the role.

Applicants also require excellent organisational, communication, negotiation and literacy skills, proven decision-making ability and be able to work well under pressure, both individually and as part of a team. 

This post will be offered on an indefinite contract.

This is a full-time post - 100% full time equivalent.

Key responsibilities

  • To check costing and draft applications of funding proposals for research grants and give academic staff accurate, clear advice on related matters, College policy on indirect cost recovery and the presentation of figures in research proposals. 
  • To provide sound, constructive advice to academic staff applying for research grant funding, including: - costing and pricing grant proposals, funders’ regulations, College polices, publication, legal and intellectual property matters. 
  • To develop an expertise in specific funding bodies, in particular their application processes and systems as well as their funding terms and conditions. 
  • To hold meetings with academic staff, departmental administrators, senior managers and/or external organisations as necessary to develop relationships and negotiate terms for activity. 
  • To disseminate information on relevant College policy and procedures and explain them as appropriate to academic and support staff, including participating in seminars as necessary. 
  • Provide training for academic and administrative staff, in conjunction with the Director of Research Grants and Contracts – Pre-Award, and Pre-Award Team. 
  • To ensure that project applications they review adhere to College’s regulations and policies and, where relevant, those of external funding organisations, regulatory bodies and NHS collaborators. 
  • To be personally responsible for his/her own work but to refer to the Director of Research Grants and Contracts – Pre-Award on complex matters. 
  • To advise and review costings for Projects using the College’s Worktribe costing tool. 
  • To work closely with other sections of RMID and local academic administrative staff across the College to ensure (i) a high quality, consistent and integrated approach and response to research support and (ii) that the pre-award grants team has a well-managed interface with other sections of the Division, the College and its partner NHS Foundation Trusts. 
  • To ensure that proper, up-to-date and accurate records of applications and awards are maintained by the whole pre-award team, and input, validate and monitor material uploaded to College information systems, such as Worktribe.  To be responsible for the accuracy and integrity of research-related data in their area and contribute to the preparation of reports and analyses of activity. 
  • To prepare draft collaboration agreements and other related agreements for research projects from Research Grants & Contracts templates (including the Brunswick templates) and develop a good working knowledge of how to use them.  
  • To negotiate collaboration agreements and subcontracts with external partners involved in research projects. 
  • To be personally responsible for their own work and to refer to their line-manager on complex matters of policy and/or legal matters. 
  • To undertake such other duties as are consistent with the role, as required by their line manager and to work across such campuses as may be required. 
  • To work on such campuses as may be required.

Skills, knowledge, and experience

Essential criteria

  1. Relevant work experience in research funding administration
  2. Ability to analyse and present information with a focus on specific requirements of funding schemes
  3. Knowledge of research funding landscape in the UK and/or internationally Knowledge of grants and funders requirements
  4. Understanding of the UK and European university environment
  5. Able to produce highly accurate financial budgets in line with funder guidelines
  6. Excellent interpersonal skills and the ability to interact with a wide range of people in a positive and helpful manner whilst being capable of firmly maintaining university policies
  7. Proven organisational and administrative skills
  8. Demonstrably high levels of accuracy and attention to detail
  9. Ability to work well under pressure, prioritise and meet deadlines in the face of constantly shifting priorities and pressures
  10. Good analytical and practical problem solving skills
  11. Diplomacy and tact when dealing with different stakeholders and problems, even in most difficult circumstances

Desirable criteria

  1. Degree or equivalent professional qualification or equivalent experience
  2. Direct experience handling the pre-award aspects of research funding mechanisms in a university
  3. Able to advise and assist academic colleagues with the application process
  4. Knowledge of full economic costing methodology, and practical, sound numeracy skills
  5. Data entry and data compliance in external systems and using external software
