About the opportunity

The Faculty of Medicine and Health (FMH) has a great opportunity for an Executive Assistant and Project Officer in the School of Medical Sciences to join the team to manage administrative services in a timely and effective manner, ensuring the specific needs and day to day requirements of the office are managed in highly efficient and effective manner.

As the first point of contact, the Executive Assistant and Project Officer will demonstrate extensive administrative and organisational skills in order to manage a high volume of activity as well as client service skills, tact and diplomacy. The key to success is your ability to manage and plan small projects to ensure deadlines are met and prioritise matters brought to the School.

Based on site at Camperdown Campus, the Executive Assistant and Project Officer will need to keep the Head of School ahead of their schedule, anticipating their engagements and managing front line interactions.

Your key responsibilities will be to:

  • provide broad, high level professional executive support to effectively manage and prioritise the general day to day office operations and administration activities
  • build and manage effective working rapport with key stakeholders and staff across the University
  • assist in the management of the approval process across the school for documents requiring HOS approval.
  • provide secretarial support to School level meetings; coordinating agendas, meeting papers and writing minutes and non-routine correspondence
  • assist the School Manager in the provision of high-level administrative support
  • ensure quality application of and compliance with, University administration policies and procedures.

About you

  • ability to work both independently and as part of a team, taking initiative and sound judgement in resolving daily work matters
  • advanced skills in full Microsoft office suite with extensive diary management
  • demonstrates a proactive and positive approach to problem solving and process improvement
  • the ability to organise and prioritise your work, with limited supervision
  • well-developed, negation, conflict resolution, relationship building, influencing skills with the ability to establish and maintain excellent working relationships
  • demonstrates experience with project or event coordination.
