About the opportunity

We are seeking an Administrative Officer who will provide excellent administrative support to the Discipline Executive Officer (DEO) and the Head of Discipline of Marketing and be an engaged member of a larger administration team of the Business School.

The Administration Officer works under general supervision from the DEO and provides a wide range of administrative and operational support to the Discipline such as HR processes including permanent and casual staff hiring, Concur and UniBuy transactions, ordering office equipment and stationery, managing meetings and minute taking, managing events and using SwiftDigital to manager invitations and registrations, room bookings as well as supporting processes including timetabling, appeals, exams and responding to staff and student enquiries.

As the first point of contact for all staff and students, this role requires excellent communication, administrative and organisational skills, attention to detail, ability to initiate solutions and to anticipate and plan for tasks in order to coordinate and prioritise well to complete a wide range of operational activities.

Your key responsibilities will be to:

  • provide Discipline specific administration services and operational support
  • provide general day-to-day administration support to the Discipline and ensure continuous improvement of administrative processes
  • manage Discipline resources and building access management
  • maintain Discipline website, social media and noticeboards
  • undertakes ad-hoc projects and other activities.

PLEASE NOTE: this is an administrative role supporting academic staff and education support in one of the Discipline of the Business School, it is not a role in 'marketing'.

About you

You enjoy working as part of a team and possess strong administration skills, preferably in a tertiary environment. You use sound judgement and utilise effective and tactful verbal and written communication and possess other skills as follows:

  • advanced skills with Microsoft Office, Concur and UniBuy and experience with Workday, Timetabling, Canvas and Swift Digital
  • exercise initiative and strong problem-solving skills
  • ability to continuously assess and make suggestions for improved administrative practice and services
  • ability to work well as part of a team as well as independently and develop productive relationships with senior academic and professional staff across
  • excellent time and workload management skills with the ability to manage interruptions and changes to work priorities to achieve deadlines and required outcomes
  • experience in handling a wide range of enquiries and providing excellent customer service
  • ability to work independently, use initiative and exercise sound judgement and ability to prioritise workload during busy periods
