Overview
The Summit series involves around five to six events a year held around the world attracting world-class speakers and delegates to discuss the key issues in the higher education sector.
Due to rapid growth in the Summit series, we are now seeking an experienced Senior Events Executive on organising international commercial events. The jobholder is responsible for supporting the Managing Director – Events, Head of Operations and Event teams in the planning and delivery of industry-leading awards ceremonies, world summits series and other events. A keen eye for detail and the ability to multi-task are essential in this role. One-two years event organising experience is essential in international commercial markets, and preferably Spanish speaking. World-wide travel is a necessary part of the position, so you must be able to travel to the events you are responsible for and on occasion at short notice.
Key Responsibilities
- Project management: Overseeing and assisting in the project management of host partners for the summit series over the duration of the partnership. Constantly seeking improvement opportunities, including introducing innovation and ideas
- Working alongside the Events team in the overall planning, execution of a variety of annual events
- Communicating with events team, THE content team and host partners on the logistical planning of events with regular meetings with all parties and agree branding
- Monitor, control and record budgets and invoicing and report any issues to Managing Director - Events
- Liaising and negotiating with vendors and keeping a database
- Liaising with high profile speakers on their travel arrangements and participation in the events were appropriate
- Working on the production of dedicated Awards sites/web pages for each event, collaborating with the marketing and design teams, web specialists, functionality as necessary
- Managing of sponsors/exhibitor requirements
- Assisting the client in selecting menus, room layouts and table plans
- Onsite event management - specific responsibilities to include overseeing the production team, briefing and liaison with hotel staff, co-ordination of sponsors, co-ordination of hostesses, ensuring table plans are correct and adhered to etc
- Taking on additional or specialist tasks/responsibilities under the direction of the Managing Director - Events to aid the smooth running and development of the Department as a whole
- Ensuring compliance with data protection rules
- Resolving problems and escalating to Head of Event Operations as necessary
- Sharing best practice across the events teams

Skills/Qualifications
- Minimum of 12 months event organising experience in international markets
- Proficient use of the latest version of Microsoft Office
- A good and excellent communicator at all levels
- Attention to detail
- Demonstrable experience in project managing events
- Deep knowledge and substantial experience of technical/industrial domains
- Excellent communication and presentation skills
