About the opportunity
The Project Officer role provides a customer service function to internal stakeholders through the provision of assistance, advice and guidance related to service provider and billing transactions taking place in sub-General ledger and Procurement (UniBuy-ARIBA) and Maintenance Management (Archibus). The Project Officer also provides a customer service function to service providers and facilitates responses to enquiries with the UniBuy Help Desk.
Responsibilities in this role include:
- raising purchase requisitions, billing requests and journal transfers on behalf of Central Operations Services (COS)
- providing month end support and reconciliation services including running reports, preparing accruals, transaction interrogation and analysis
- managing ICT hardware procurement and allocation for the department
- coordinate, triage and resolve invoice and purchase order queries from service providers in consultation with the UniBuy Desk and Contract Managers
- resolve queries in a professional, timely and effective manner
- coordinate and resolve Archibus work request queries, and resolve queries from service providers relating to pre-UniBuy invoices and accounts
- transaction processing in UniBuy/ARIBA in an effective and timely manner
- support Finance & Analytics month end processes to ensure it runs smoothly
- undertake reconciliations
- provide COS ICT Hardware support
- contribute to the continuous improvement to COS systems, processes and administrative practices
About you:
- demonstrated experience in high volume finance environment within a large, complex organization
- experience in Procure to Pay systems (e.g PeopleSoft, SAP/ARIBA) and creating reports out of Hyperion would be highly desirable
- demonstrated high level interpersonal skills with the ability to convey information clearly and concisely to staff at all levels of an organization
- understanding and execution of governance related tasks in relation to the admin of company assets
- excellent communication skills (written, oral and listening).
