Job description
This role supports the Global Engagement team, including King’s overseas offices in India, China and Latin America. The role is a critical support function in a busy team: it involves a diverse portfolio that includes financial administration, office management and systems, communication and information/data management, diary management, event management including coordination of regional networks, as well administrative support for internal funding calls.
The postholder will play a significant role in supporting King’s Internationalisation strategy and its global reach ambition; one of King’s priorities is to engage and work collaboratively in every region of the world, through the development of equitable partnerships with like-minded institutions, membership in university networks, and engagement with key regional and national stakeholders. Our engagement with the world provides diverse and enrichening educational experiences for our students, as well as fosters and supports joint research that addresses global challenges and contributes to the prosperity of local and global communities. We do this through developing regional strategies, networks and partnerships.
This post will be offered on an indefinite contract
This is a full-time post
Key responsibilities
• Office management duties including managing the shared mailbox, team calendar, shared drive, gifts, office space, equipment and acting as contact point for suppliers
• Financial administration for central budgets and overseas offices
• Coordination of an annual calendar of regional network events, maintaining regional membership lists and SharePoint site
• Supporting internal funding calls including collating applications, coordinating review panels, collecting reports and preparing promotional materials for calls
• Logistics and diary management – organising internal meetings, programmes, managing diaries and team calendars
• Organising and managing virtual outbound and on-site international delegation visits, meetings and events, including travel arrangements
• Managing the agreement database and signing processes
• Support with collating centrally held data for reports and briefings, and updating and maintaining templates
• First contact point for enquiries of the Global Engagement; maintaining the contact database and updating the Global Engagement web pages.
Skills, knowledge, and experience
Essential criteria
1. Minimum of two years’ experience in a similar administrative role
2. Experience of finance administration
3. Working knowledge of MS packages such as Outlook, MS Teams, Sharepoint and Excel for meetings, share drives and managing data
4. Experience of diary management, coordinating meetings and arranging logistics
5. Good verbal and written communication skills
6. Proactive and flexible, willing to learn new skills
7. Able to process data with attention to detail
8. Clear motivation for the job and a good team player
Desirable criteria
1. Demonstrable interest in working in an international setting
2. Experience of event administration
3. Experience in a Higher Education setting
