Description

The University Sponsored Research Office manages internally funded faculty led research in line with the KU’s research strategy as part of the University’s mission to be a leading research-intensive institution. Funding available to KU faculty ranges from initial individual start-up grants for new joiners to large multi-year center grants focused on strategically impactful research areas involving groups of faculty as well as targeted local & international collaborations.

The Internal Awards Specialist position sits within the Internal Awards & Collaboration team, which provides management, support and oversight of the University’s portfolio of internally funded grants.

  • Co-ordinate the administrative processes around receiving financial & technical reports as well as related documents from project investigators, ensuring that proposals are current, accurate and complete and in full compliance with institutional policies, procedures and other requirements.
  • Assist in the capturing of award details into financial databases and the research management system  
  • Ensure timely reconciliations of accounts, sub‐award/subaccount, contract service agreements, no‐cost extensions, budget modification requests, verification of expenditures on internally sponsored projects, expense projections, and account closings.
  • Keep accurate records of all research collaborator activities including invoices and reporting.
  • Assist with regards to the tracking of research personnel on internal grants.
  • Assist with the efforts to track proposed student assignments on internal grants and well as managing re-allocation of students between internal and external projects.
  • Support the timely review of technical reports at major project milestones.
  • Ensure the internal KU Portal pages related to Internal Awards is up to date.
  • Adhere to the University's information security and confidentiality policies and procedures, and report breaches or other security risks accordingly
  • Coordinate with other departments to facilitate the accomplishment of tasks and responsibilities, as and when needed
  • Perform any other tasks assigned by the Line Manager

Qualifications

Required Qualifications

  • A Bachelor’s degree preferably in Management, Finance or Engineering subjects.
  • Experience working in a university / research administration environment would be advantageous.

Required Experience

Expats:

  • A minimum 5 years of relevant experience.

UAE Nationals:

  • A minimum of 0-1 year of relevant experience
