Faculty Affairs Coordinator
We are seeking a Faculty Affairs Coordinator who will be responsible for a range of administrative duties in the Office of the Vice Provost for Faculty Affairs. Responsibilities include scheduling and managing the Vice Provost for Faculty Affairs (VPFA) calendar. Managing all administrative duties for the University Pandemic Academic Advisory Committee (UPAAC)/Johns Hopkins University Council (JHUC), assisting with the Tenure Advisory Committee (TAC) and other duties within the office. Additionally, the coordinator will monitor and process expenses for the office. The coordinator will have familiarity with the inner workings of the Office of the VPFA and will be trained to stand in for other team members in their absence.

Specific Duties & Responsibilities

  • Manages the VPFA's calendar by effectively prioritizing requests for meetings and resolving scheduling conflicts.
  • Triages email, telephone calls, faxes, and incoming mail directed to the VPFA.
  • Completes additional administrative duties such as processing reimbursements and other expenses for the FA team, compiling meeting materials, assisting with Office of the Provost front desk coverage and reserving meeting rooms and/or catering for special events.


UPAAC/JHUC

  • Manages scheduling of meetings and special guests.
  • Serves as point of contact for all UPAAC/JHUC members and special guests.
  • Manages agenda development for bi-monthly meetings.
  • Manages and organizes OneDrive folder.
  • Manages UPAAC/JHUC website, email box and updates bylaws.


TAC
  • Manages scheduling of meetings and special guests.
  • Manages agenda development for bi-monthly meetings.
  • Provides support in Interfolio' s Retention, Promotion and Tenure (RPT) module.
  • Manages TAC website, email box and updates bylaws as needed.
  • Is cross-trained as a back-up to manage all TAC undertakings and processes.


Other
  • Provides administrative assistance to Dual Careers Services program.
  • Provides administrative assistance for annual Society of Scholars event.
  • Manages Faculty Affairs email box.
  • Manages bi-annual Vice Deans for Faculty meetings.
  • Performs other duties as assigned.

  • Strong organizational, interpersonal and customer-service skills.
  • Detail oriented.
  • Ability to work independently and in a team; to take initiative and be flexible.
  • Expertise in organizing complex meetings.
  • Excellent proofreading and editing skills.
  • Demonstrated ability to show good judgment in communicating issues that are sensitive and confidential.


Minimum Qualifications
  • High School Diploma or graduation equivalent
  • Five years progressively responsible administrative experience
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula


Preferred Qualifications
  • Proficiency with Outlook, Word and Excel.
  • Experience with SAP and Concur.
  • JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Starting Salary Range: $39,780 - $54,600 (Commensurate with experience)
Employee group: Full Time
Schedule: Monday - Friday, 8:30am - 5:00pm
