Job Description

Oversee and co-ordinate centre-related activities, which include but are not limited to the following:

  • Manage recruitment and personnel matters pertaining to full-time and temporary staff
  • Assist in preparation and submission of project proposals and reports to internal committees and/or external organizations
  • CCS@SUSS budget matters (e.g. capex, opex, manpower, library)
  • CCS@SUSS administrative processes and Standard Operating Procedures (SOPs)
  • Oversee compilation and maintenance of CCS@SUSS data and archives (e.g. statistics and relevant materials on centre’s research projects, publications, events, and courses initiated) and the centre’s shared drive
  • Maintain and update CCS@SUSS’ network database
  • Co-ordinate, organise and oversee assigned CCS-related events/projects, such as the public lectures, research seminars, workshops, and exhibitions
  • Co-ordinate and support hosting of delegations and visitors from Chinese- speaking communities
  • Co-ordinate and organise study trips to Greater China region
  • Work closely with the various entities within the University, including various Chinese-related programmes
  • Organise Chinese-related programmes’ student and alumni activities
  • Participate in centre meetings, strategic planning sessions, and centre activities
  • To develop and maintain an efficient and coordinated system for planning, organising, managing and delivering centre’s programmes.
  • To prioritise and allocate centre’s resources, review work flow and processes and service standards and make recommendations to achieve maximum effectiveness in centre’s operations.
  • To monitor day-to-day operations of the programmes to ensure that goals and objectives are met, policies and procedures are being followed, and to resolve issues and take corrective actions as appropriate.
  • To maintain close contact with partner universities and stay abreast of changes that may affect the programmes, and recommend improvements to the programmes to meet changing needs and requirements.
  • To maintain effective communications with all stakeholders to ensure operational success of the programmes.
  • To ensure compliance with external and internal quality assurance standards and requirements.
  • To work with Director in formulating the marketing plan of centre’s programmes.
  • To participate in planning and organising marketing activities, e.g. programme launches, briefings, education fairs, etc. in accordance with the marketing plan.
  • To prepare marketing materials, e.g. brochures, mailers, video, presentation materials, etc.
  • To gather market information and shares with relevant stakeholders.
  • Support the Director in dealing with external institutions, both local and international, on matters related to Chinese language and culture
  • Provide administrative support to the Director
  • Serve in SUSS committees

Job Requirements

  • Degree holder with 3-4 years of relevant working experience, of which at least 2 years are at managerial or similar level
  • Effective interpersonal skills with excellent command of written and spoken English and Chinese
  • Able to work with the team as well as motivate and coach team members
  • Good time management
  • Mature, meticulous and possess high level of discretion and integrity
  • A resourceful person who is able to work independently
  • Must be computer-literate and proficient in Microsoft Office skills
