The Faculty of Social Sciences welcomes applications from suitably qualified and experienced individuals to join its Faculty Operating Service, as Executive Assistant to the Head of School, Southampton Law School. As a prominent member of our team, you will make an important and rewarding contribution to our exciting, varied, and engaging activity across our university, working with colleagues and students from diverse and interesting backgrounds.

The Faculty Operating Service works with Faculty, Deanery and School Senior Leadership Teams to support those areas of work which provide essential services to our core business of education, research, and enterprise. We underpin the achievement of the strategic objectives of the University. Our students and staff come from a wide range of backgrounds, within the UK and internationally, creating a multicultural and diverse community. The successful applicant will be motivated, enthusiastic, and a proactive team player who is culturally sensitive and able to work effectively in a flexible and responsive environment.

The Role

You will provide professional operational assistance, diary, and similar administrative support to the Head of School and, by association, other senior members of staff in the Law School. This will include undertaking a range of responsibilities which might include working on projects and activities, diary management and event organisation, travel arrangements, minute taking, financial administration, website updates, social media and organising group meetings. You will be able to quickly build strong relationships and partnerships with internal and external organisations and groups and be able to liaise confidently with your stakeholders. You will also lead an enthusiastic School administrative team providing operational direction and management of a busy team workload.

As a member of our busy and engaged administrative team, you will deliver a thoughtful, pro-active, and efficient service, which meets the requirements of the faculty’s varied and interesting activities across five academic schools: Business; Law; Mathematical Sciences; Education; and Economic, Political and Social Sciences.

About You

We welcome applicants with experience within an Executive Assistant style role, keen to work as part of a team.   Applicants must have excellent communication and interpersonal skills as well as proven IT skills (ideally including MS SharePoint and Teams), the ability to demonstrate initiative and to prioritise their own work whilst contributing to a team. Proven experience of diary management on behalf of others, minute taking, effectively managing a diverse workload and a strong attention to detail are essential.

What we can offer you

We understand the importance of personal and career development, and through our own training team and Linked-In learning you will have access to varied training courses.  As part of a larger organisation, we can offer varied opportunities for you to enhance your skills and career progression through the administration support team.

As well as additional benefits that will make your life easier, such as a generous holiday allowance and additional university closure days, we will support your long-term future too, with pension scheme membership, subsidised health and fitness facilities and a range of discounts. Our excellent family leave arrangements include maternity, paternity, adoption and parental.

As a university we aim to create an environment where everyone can thrive and are proactive in fostering a culture of inclusion, respect, and equality of opportunity. We believe that we can only truly meet our objectives if we are reflective of society, so we are passionate about creating a working environment in which you are free to bring your whole self to work. We welcome applications from candidates who are committed to helping us create an inclusive work environment. We encourage applications from candidates from Black, Asian and Minority Ethnic communities, people who identify as LGBTQ+; and people with disabilities.

The location of work is Highfield campus.  We support flexible working, and the successful candidate could choose to work remotely with at least 60% of their contracted hours working on campus. Flexibility will be required should the business need require a greater on-site presence.
