Job description

The Faculty of Life Sciences & Medicine seeks to appointment someone who has strong analytical and data management skills to work with data and systems to support its operations and planning, working closely with the Faculty Senior Information Officer. The post holder will be solutions-focused, drawing on the data and resources available to support a wide range of the Faculty’s priorities, and have a systematic approach to work with an outstanding eye for detail. 


The post holder will: 

•       Maintain and enhance Faculty information systems and databases ensuring the data completion and quality are both high and consistent, providing end users with advice on data input and solving problems 

•       Extract raw data from various sources, to support decision-making 

•       Support data collection and database/ system users, including problem-solving and enhancing guidance  

•       Be responsive to ad hoc requests for data and analysis, undertaking any other activities that are required by the line manager 

•       Foster a stimulating, innovative and inclusive cultural environment across the Faculty Office enabling students and staff to thrive and develop 


The post holder will be working with several corporate systems and databases, including an absence reporting and monitoring tool, benchmarking tool and the education database, which brings together data on staff contributions to education programmes across the King’s Health Faculties. The post holder will work collaboratively with staff from across the Faculty, and more widely in King’s College London, supporting them by providing data and working with them to improve data quality across the corporate systems.  


The post holder is expected to be an advanced Excel user and: 

-        Be highly numerate and show an aptitude for working with data 

-        Have proven analytical and problem-solving skills 

-        Demonstrate initiative and innovation - in the support of end users, in the use of data and its presentation to assist understanding of the evidence 

Have a strong ethos of service. 


This post will be offered on an indefinite contract  

This is a full-time post


Key responsibilities

Work closely with the Faculty Senior Information Officer to ensure data/ analytical and operational support for the Faculty’s business intelligence function:   

•        is professional, well-executed and timely  

•        is compliant with university policies and  

•        adopts best practice. 


The post holder will: 


  • Support key areas of corporate business intelligence, working closely with colleagues across the Faculty and university to ensure accurate data input and compliance  
  • Advise and support colleagues in the use of corporate databases and systems: 

-      acting as the primary point of contact for users of the staff absence reporting system, escalating more complex issues to Faculty Senior Information Officer  

-      liaising with database end users to inform enhancements to the function and power of the databases, with a strong commitment to customer service 


  • Have responsibility for the day-to-day management of the absence reporting system, and act as the gate keeper for HR data for staff in the Faculty, working with colleagues to improve data quality and update Faculty distribution lists for Faculty communications 
  • Advise honorary and adjunct appointment applicants, based on the agreed guidelines, coordinating and preparing the applications for approval by the Faculty Executive Board and confirming the Board decision to applicants, liaising with the HR team as required and updating the Faculty’s records 
  • Understand and validate data on corporate systems 
  • Explore with the Faculty Senior Information Officer ways of improving data collection, management and governance processes 
  • Extract, clean, transform and combine raw data for further analysis using the most appropriate method, checking the accuracy of the analysis using alternative approaches 
  • Develop an understanding of best practice with regard compliance with GDPR and the use and sharing of data 
  • Undertake data analyses, for example of staff diversity and inclusion data, and where required use graphics to represent the data to a non-expert audience 
  • Develop a good understanding of the reporting environment in the higher education sector and provide advice on its impact on Faculty and/or university business processes 
  • Lead on aspects of data returns and reports as required by the Faculty Senior Information Officer 
  • Support the analysis of the Faculty input to the University Exit Survey and develop and support other Faculty surveys 
  • Use understanding and skills to take decisions that have a 6-12 month impact, and assist colleagues with decisions at this level 
  • Maintain Faculty intranet and internet pages relevant to business intelligence resources 
  • Continue to develop technical and analytical skills, contribute to the work of the wider team and actively engage with colleagues across the University 
  • Facilitate an inclusive culture and ethos, with accessibility being a key daily concern  
  • Work collaboratively and collegially, establishing effective communications and relationships, working in partnership with academic and Professional Services colleagues across the university to make a wider contribution to the Faculty and university 
  • Support committees, as required preparing papers and taking notes. 

The above list of responsibilities may not be exhaustive, and the post holder will be required to undertake such tasks and responsibilities as may reasonably be expected within the scope and grading of the post. 

Skills, knowledge, and experience 

Essential criteria  

1.      Minimum level 3 qualification, e.g. A Level or equivalent, in a relevant (numerical, technical, or analytical) subject, plus experience in a relevant post; or evidence of considerable knowledge and skills gained through work experience in a relevant post 

2.      Evidence of an active commitment to ongoing professional development and achievement  

3.      Data literacy and analysis combined with advanced IT skills – with an understanding of key concepts around data and techniques for analysis and interpretation - using strong analytical skills and problem-solving skills  

4.      Experience of one or more business intelligence tools (including Excel, Power BI or other software)  

5.      Excellent written and oral communication skills, conveying complex information to a non-specialist audience through clear and accessible formats using data visualisation to improve understanding of the evidence base 

6.      Highly numerate 

7.      Excellent interpersonal skills, including the ability to build effective relationships and networks with colleagues at all levels and different backgrounds, advising and influencing stakeholders 

8.      Commitment to delivering excellent customer service  

9.      Flexible, self-motivated and enthusiastic approach to work – i) working as part of a team as well as independently with a minimum of supervision, ii) planning and setting priorities to meet deadlines and iii) monitoring progress

Desirable criteria

1.      Degree or equivalent qualification, preferably in an analytical subject 

2.      Familiar with web editing and software 

3.      Knowledge and appreciation of the issues facing the Higher Education, healthcare or not for profit sector 

4.      Knowledge of GDPR and best practice required to comply with the legislation 

5.      Experience of servicing committees 


Further information

The selection process includes an online technical test on Excel for shortlisted candidates. Those candidates who perform well doing the test will be invited to a face-to-face interview.
