Job description

The School of Biomedical Engineering & Imaging Sciences, King’s College London is seeking a highly organised, proactive individual to support the Wellcome EPSRC Centre for Medical Engineering. Since its launch in April 2017, the Centre focuses on bringing engineering research and innovation into medicine. Specifically, through the discovery and translation of enhanced medical imaging techniques and working across many scientific disciplines, we have improved the understanding, diagnosis and treatment of many neurological, oncological and cardiovascular conditions. The Centre provides resources and infrastructure to support the research of the School.

 

The Research Development Coordinator will work closely with the School’s Research & Development Manager, supporting the Centre Director (and other key stakeholders) on strategy, planning and delivery of the Centre’s scientific aims.

 

The post holder will provide high level administrative support and project management for the research activities and have oversight of the Centre’s work across the School and King’s Health Partners (KHP). The post holder will need a strong scientific background in a relevant field, be highly motivated, approachable and will need to proactively liaise with a variety of professional figures within the Higher Education and NHS sectors to ensure that Centre aims are achieved.

 

This post will be offered on a full-time, fixed term contract for 24 months.

 

King's offer 'hybrid working' for Professional Services staff, with a mix of on-site and home working. You will be required to work on site a minimum of 3 days per week. Staff will not have a formally fixed pattern of 'working from home' days and may need to flex to meet operational needs.

 

Key responsibilities

General

  • Support senior stakeholders within the Centre to drive strategic initiatives.
  • Develop an in depth understanding of the Centre’s research profile, its strengths/weaknesses, staff capabilities, facilities, and opportunities for development.
  • Manage and disseminate as necessary, Centre-related information.
  • Be actively involved in setting targets and objectives and reviewing performance against the targets.
  • In tandem with other staff in the team, ensure the smooth running of project seminars, workshops, and research conferences.
  • Ensure appropriate meetings are held frequently to assess progress and help all workstream leads keep the team focussed on delivery against the project plan, milestones, and budget.
  • Support all workstream leads in assessing project risks and mitigation strategies.
  • Develop a strong understanding of Open Access (OA) issues; check that newly published work is made Open Access and advise others on OA issues.
  • Provide the Centre and individual members of staff with timely and efficient administration, responsive problem solving, and prioritisation/organisation.
  • Plan and organise meetings as appropriate, including minute taking.

Communication & Networking

  • Develop and maintain effective working relationships with staff within the School as well as in the College and across KHP.
  • Develop and maintain internal and external communications and public relations, including supporting regular reporting and the appropriate use of web and print media.
  • Regularly communicate complex information in a clear and precise way.
  • Develop content for Centre webpages and disseminating news via other routes e.g., newsletters and social media.
  • Liaise with the team to support the creation of scientific and/or financial reports required by funders (for example: interim, milestone, annual reports, and surveys).

Finance

  • Work alongside the Research & Development Manager to ensure accurate monitoring of all Centre financial resources and compliance with College financial regulations.
  • Provide regular, relevant financial management information as requested.
  • Ensure that the Centre complies with Wellcome and EPSRC regulations and procedures and that research funding is managed appropriately and expended for the purpose for which it was intended.
  • Process financial paperwork e.g., invoices and expense claims, and provide advice and direction including issues around auditing requirements.

Decision Making, Planning & Problem Solving

  • Resolve problems where the optimal solution may not be immediately apparent and where there is a need to use judgement to resolve problems that are predictable but occur infrequently.
  • Work on own initiative and unsupervised.
  • Prioritise workload to ensure completion of work and communicate to the Director and/or Research & Development Manager any difficulties associated with carrying out work tasks.

Analysis & Research

  • Provide documentation and produce reports as required using systems such as PowerBI.
  • Produce and analyse financial information.
  • Use internet searches and College procedures to assist with gathering and interpreting information for daily tasks.
  • Monitor staff publications by the use of the PURE system (training will be provided) and produce management information on publications as and when requested.

Teamwork & Development

  • Assist colleagues with difficult problems when they arise and generally offer advice, guidance, and support to team.
  • Proactively pursue Continuous Personal Development opportunities.

Pastoral Care

  • Handle situations that require sensitivity, a high level of awareness of confidentiality, and general tact and diplomacy.
  • Work within a team on a day-to-day basis and provide mutual support.

Physical Demands & Working Environment

  • Use of computers and time spent at monitors.
  • Occasional travelling within the UK and abroad.

Skills, knowledge, and experience 

Essential criteria 

1.       Post graduate degree (PhD) in STEM subject  

2.       Knowledge of Higher Education and/or NHS systems  

3.       Financially literate with sound knowledge of budgeting methodologies and resource management concepts 

4.       Ability to analyse problems and proactively identify solutions 

5.       Highly developed verbal and written communication skills, including the ability to liaise with staff at a range of levels internal and external to the organization 

6.       Strong administrative, organisational and time management skills (working to targets and deadlines) 

7.       Proactive and able to drive new projects independently 

8.       Positive and collaborative attitude towards working with colleagues at all levels across different functions and faculties to achieve shared objectives 

 

Desirable criteria 

1.       Management or Project management qualification (e.g., Prince 2) 

2.       Experience of commissioning, interpreting, and presenting data
