Job description

The Faculty of Arts & Humanities is looking to appoint an outstanding candidate with experience of financial management and business operations, to this diverse and rewarding role.  


As a line manager and team leader in staff and student-facing teams, the post-holder will be responsible for managing the operational aspects, including HR/recruitment, academic workload management, finance, health & safety and space management, across a cluster of four or five academic departments. 


The post-holders will work closely with the relevant Head of Cluster Administration, the Vice Dean (People & Planning), Heads of Department, the Faculty Head of Business Support and the relevant central University directorates to ensure departments are robustly resourced and able to provide an excellent learning and research environment for their staff and students   They will play a key role in managing the financial aspects of the strategic planning process, including staff and nonpay budgets, by providing high-quality management information to facilitate leadership decisions.


The post-holder will have exceptional communication and negotiating skills, excellent data management skills and demonstrable experience of seeing through change and improvement initiatives. They will have the ability to lead others and contribute effectively as part of a team.

This post will be offered on a full-time, fixed term contract of upto 12 months (Maternity cover)  starting September/October 2022.


Key responsibilities

  • To manage the financial aspects of the strategic planning process, including staff and nonpay budget setting
  • To monitor financial performance against targets and budgets and to communicate emerging trends and issues in a clear, timely way that is appropriate to the audience and issue
  •  To offer advice in situations both with and without precedent and make decisions in both strategic and rapid response mode
  •  To ensure compliance with regulations and legislation (finance, HR, tax, data, health and safety)
  •  To work closely with the Heads of Department, Head of Cluster Administration and Programmes Managers to ensure effective academic workload planning within the Cluster, taking the lead on recording and monitoring academic staff workload in line with the Faculty workload model
  •  To manage all financial and contractual arrangements for academic staff, including leading on the recruitment of Graduate Teaching Assistants, and to assist with the induction of new staff
  •  To manage the safe and optimal use of cluster estate
  •  To advise on the operational aspects of any local events
  •  To extract, analyse, transform, interpret, visualise and communicate data from University systems for people, student numbers, space and finances in order to assist cluster management with strategic decision-making
  •  To act as line manager to the Business Support Administrators and Officers including recruitment, performance and development
  •  To play an active role in the leadership of the cluster professional services team, in partnership with fellow managers
  •  To collaborate with other members of the Faculty Business Support Operational Team in sharing best practice in the management of business operations across the Faculty.
  •  To participate in Department, Faculty, Campus and University-wide networks and fora as appropriate, and to cover for colleagues as required, both within their own areas and across the Faculty as necessary.
  •  To act as local Safety Officer for the departments under their remit.  A separate letter of appointment will cover the specific duties
  •  To deputise for the Head of Cluster Administration as necessary
  •  To undertake any other duties that might reasonably be required by the Head of Cluster Administration

The above list of responsibilities may not be exhaustive, and the post holder will be required to undertake such tasks and responsibilities as may reasonably be expected within the scope and grading of the post.


Skills, knowledge, and experience

Essential criteria

1.       Substantial experience of financial and operational management

2.       Excellent oral and written communication skills, including the ability to present to senior audiences and to draft papers that support strategic decision-making

3.       The ability to deal with a wide variety of people in a professional and assured manner, including advising, escalating and influencing

4.       Experience of supervising and delegating to staff and the ability to lead others and contribute effectively as part of a team

5.       The ability to extract, analyse, transform, interpret, visualise and communicate data from a range of databases

6.       Strategic planning, budget-setting and monitoring experience

7.       Excellent project management skills, evidenced by the successful ownership and delivery of complex projects, including change management initiatives

8.       Familiarity with the regulatory framework for data protection, HR, health and safety and equal opportunities


Desirable criteria

1.       Familiarity with the higher education sector

2.       Qualification in financial, operational or project management
