The Department and role purpose

The Estates and Facilities Directorate provides a number of essential services to Durham University and is responsible for managing, maintaining and developing the infrastructure and building fabric of the various campuses, including:

  • maintaining and regularly reviewing a maintenance programme which takes account of short, medium and long term needs of all buildings and University grounds
  • implementing the works identified and funded within the various maintenance programmes and operating a system for dealing with day-to day requirements, including the provision of an out-of-hours emergency service
  • providing a professional, technical service to the University for the design, construction and procurement of new buildings and adaptation works to existing buildings
  • identifying and recording the use of space and advising on ways of increasing space utilisation
  • property and asset management
  • acquisition and disposal of built environment related assets
  • procuring and managing utilities and services
  • providing postal, delivery and security arrangements and advice to the University; and
  • delivering a wide-range of customer-facing services, including contract management; estates and facilities relationships management; housekeeping and cleaning, business resilience, event management; reception helpdesk; university retail; business support; health and safety; and management information.

The Senior Maintenance Assistant will undertake planned and reactive maintenance, minor works and carry out a range of service support tasks throughout the University estate, within domestic, industrial and educational buildings as instructed.

Core responsibilities

  • Provide a highly responsive and/or frontline service to stakeholders.
  • Assist team members within the direct labour team with routine, planned and reactive maintenance, repairs and minor works.
  • Respond to service users logging and recording queries and information systematically in accordance with procedures.
  • Operate a system to record, dispense and distribute resources and information as required.
  • Assist team members to concentrate effort on a more regular basis to achieve common goals.
  • Apply skills and techniques to operate and use a range of everyday and task or job specific equipment, tools and resources, including electronic devices for the receipt and completion of work instructions, and standard mechanical/electrical plan and equipment needed to carry out the full requirements of the role.
  • Follow a set of pre-determined tasks and objectives, with some discretion for variation, referring to team members where necessary, to achieve agreed performance targets.
  • Gather and collate data and information for others to use for evaluation and decision making.
  • Contribute to the tidying, set-up and maintenance of facilities, equipment and resources.
  • Liaise with representatives from other teams/service areas where necessary.
  • Collaborate with team members to identify workflows, timescales and where support is required.

Role responsibilities

  • Respond, log and record service helpdesk queries and data and identify correct escalation routes, using necessary equipment.
  • Operate a range of maintenance, investigation, design and construction tools and equipment to carry out the role.
  • Provide a foundation service requiring the application of skills in a security, maintenance environment.
  • Carry out standard tasks and checks according to statutory guidance and protocols, completing logs and records for evidence of compliance.
  • Apply manual dexterity, physical effort and sensory skills to carry out work in a defined space or across a range of different environments.
  • Respond to first-line queries from suppliers, contractors, contacts, utility and service providers where necessary.
  • Assist team members to carry out annual statutory safety and maintenance checks.
  • Carry out stock and inventory checks.
  • Assist team members where necessary to review and update risk assessments and method statements specific to the required work activities of the post and carry out work in accordance with these and any other health and safety-related documentation to ensure the health, safety and welfare of all those who might be affected or come into contact with the works.
  • Undertake the work of any trade for which the post-holder has received the necessary training and instruction.
  • Any other reasonable duties. 

Specific role requirements:

  • Carry out certain tasks in conditions commensurate with the type and nature of the work, associated with such a role, including but not limited to: moving and lifting heavy equipment, working at height, working within confined spaces, working in inclement weather, etc.
  • The post-holder may be required to participate in the on-call rota for out-of-hours emergency situations and also, subject to reasonable notice from management, respond to the requirements of the department with regard to overtime working.
  • The post-holder will be required to drive University vehicles, transporting the required equipment to various sites across the University.
  • The post-holder will be expected to attend all training and development, as required.
  • Working within the Estates operations team will require elements of physical activities and manual handling, including lifting and transporting materials and stock. There will be elements of working at height, working within restricted spaces and where there may be specific regulations and controls.

Person specification - skills, knowledge, qualifications and experience required

Essential Criteria

  1. Good oral and written communication skills.      
  2. Good IT skills, including use of Microsoft Office.
  3. Five GCSEs at least Grade C or level four (or equivalent) including English Language and Mathematics (or equivalent experience).
  4. Demonstrable ability of working in a team to ensure the delivery of high-quality services and completing the necessary maintenance documentation and related records.
  5. Experience of managing time in order to meet deadlines and achieve pre-agreed service delivery and performance targets. 
  6. Experience of working in a buildings, estates, or services, provision area, including maintaining and repairing plant, services and equipment in highly-services buildings.
  7. Experience of estimating material requirements.
  8. Good customer care skills.
  9. Ability to use and operate the usual range of tools and equipment associated with the trade.
  10. Ability to work on own initiative with minimal supervision.
  11. Flexible attitude to multi-skilled maintenance tasks, designed to maximise operational effectiveness.
  12. Driving licence

Desirable Criteria

  1. Qualifications relating to specific areas of work within the trade or related trades, such as building or mechanical services.
  2. Evidence of personal development to maintain skills. 
  3. Health and safety compliance knowledge, including risk assessments and method statements.
  4. Ability to provide basic support for infrastructure projects.
