Working arrangements: Full-time (35 hours), Five days from seven, primarily Monday to Friday

The Department and role purpose

The Estates and Facilities Directorate provides a number of essential services to Durham University and is responsible for managing, maintaining and developing the infrastructure and building fabric of the various campuses, including:

  • maintaining and regularly reviewing a maintenance programme which takes account of short, medium and long term needs of all buildings and University grounds;
  • implementing the works identified and funded within the various maintenance programmes and operating a system for dealing with day-to day requirements, including the provision of an out-of-hours emergency service;
  • providing a professional, technical service to the University for the design, construction and procurement of new buildings and adaptation works to existing buildings;
  • identifying and recording the use of space and advising on ways of increasing space utilisation;
  • property and asset management;
  • acquisition and disposal of built environment related assets;
  • procuring and managing utilities and services;
  • providing postal, delivery and security arrangements and advice to the University; and
  • delivering a wide-range of customer-facing services, including: contract management; estates and facilities relationships management; housekeeping and cleaning, business resilience, event management; reception helpdesk; university retail; business support; health and safety; and management information.

The Sustainability Coordinator (Staff) will be responsible for developing and managing the Staff Environment Champion Network, which comprises staff representatives from the Colleges, Faculties, Departments and Schools, and developing, supporting and implementing environmental initiatives amongst the staff community.

Core responsibilities

  • Plan and organise own workload with or without involvement with project work streams.
  • Resolve queries and requests for sustainability information and advice and escalate more specialist and complex queries or issues to more experienced team members.
  • Respond to stakeholder needs to deliver and shape an excellent stakeholder experience.
  • Apply theory and practice, from academic and professional development and previous knowledge within the sustainability team.
  • Contribute to collaborative decision making within the team with service provision to deliver an excellent stakeholder experience in accordance with policy and procedures.
  • Work collaboratively across the organisation and/or externally with colleagues and stakeholders to deliver a service.
  • Provide guidance and advice to resolve problems and queries for a broad range of service users.
  • Collaborate with team members to implement service alterations.
  • Organise and schedule Environment Champion Network events.
  • Identify priorities and monitor processes and activities to ensure success.
  • Provide more in-depth independent research and analysis activities within the role.
  • Analyse work activities to ensure the effective and efficient use of consumable equipment and resources.
  • Provide instruction to others outside the team.
  • Support the capture of business requirements from users and work with colleagues to translate these into recommendations for future service provision.
  • Liaise with contacts and participate in networks and communities internally and externally, contributing to effective collaborative working.
  • Advise others and make recommendations into work processes and procedures for consideration by senior management to improve services.

Role responsibilities

  • Deliver support services to ensure the effective and efficient running of the Environment Champion Network, which enhances the Durham reputation.
  • Monitor feedback and identify service changes to meet service level agreements, ensuring compliance with environmental and professional procedures and standards, and escalate issues, as appropriate.
  • Collaborate within the Energy & Sustainability Team and across the Environment Champion Network to ensure the seamless provision of products and services.
  • Contribute to staff engagement, promotion and communication activities (including the Greenspace Website), events and presentations with or without Energy & Sustainability Team members.
  • Identify and expand the staff environmental knowledge base and contribute to the development and implementation of Environmental Vision, Policy and Strategy and procedures.
  • Liaise across the organisation to update and exchange key service information to ensure advice given to users is the most up to date and accurate.
  • Support the University Environmental Management System (Eco Campus Platinum) by implementing and updating processes and procedures, including related documentation where appropriate.
  • Work with internal and external partners and suppliers to deliver cross-functional products and services.
  • Request, monitor and analyse information, data and statistics, associated with the University’s environmental objectives and indicators accurately record and disseminate within internal networks, ensuring statutory and regulatory compliance.
  • Support the management and coordination of sustainability activities and/or events, including the Ring-Fenced Carbon Budget process and the annual Greenspace Festival.  
  • Organise and administer Environment Champion Network and Environmental Sustainability Strategic Planning Group (ESSPG) meetings.
  • Monitor and maintain the Greenspace Staff email account, acting as first point of contact for environmental issue.
  • Prepare written reports for consideration by management, where required.
  • Any other reasonable duties.

Specific Role requirements

  • There may be a requirement for evening and weekend work, as business demands.
  • Attend all training and development, as required.

Person specification - skills, knowledge, qualifications and experience required

Essential Criteria

  1. Excellent oral and written communication skills and the ability to develop effective working relationships, both internally and externally.
  2. Proven IT skills, including use of Microsoft Office.
  3. Five GCSEs at least Grade C or level four (or equivalent) including English Language and Mathematics (or equivalent experience).
  4. NVQ level III (or equivalent) in environmental-related subject, or other relevant discipline, or relevant, equivalent experience.
  5. Proven, exceptional organisational skills and ability to use initiative in day-to-day tasks and forward planning.
  6. Relevant experience of delivering environmental initiatives.
  7. Demonstrable ability to proactively work with team members to ensure the delivery of high-quality services.
  8. Experience of working on the front line with service delivery, and the ability to work under pressure and meet tight deadlines without compromising on quality.
  9. Ability to solve problems as part of a team and resolve issues, plan solutions and make pragmatic decisions.
  10. Ability to effectively network and exchange advice and information for development purposes.
  11. Knowledge of environmental best practice and behavioural change.

Desirable Criteria

  1. Evidence of personal development to maintain skills.
  2. Demonstrable ability to provide advice and guidance to a range of customers and colleagues.
  3. Experience of working with community groups.
