The Department and role purpose:

Disability Support operates as part of the Directorate of Student Support and Wellbeing. It is the central specialist university service dedicated to providing academic related support, advice and guidance for disabled students to enable them to access a wide range of services. Disability Support also provides advice and guidance for university staff in meeting the institution’s duties to disabled students within the context of disability equality legislation and inclusive practices.

The service operates with three sub sections: - The Specialist Disability Support Service, Durham University Assessment Centre (DUAC) and Durham University Specialist Study Support Service (DUSSSS).

A team of highly skilled and qualified Disability Practitioners offer student consultation appointments on both a bookable and same-day offer basis. This enables students to make confidential enquiries about disability disclosure and support; to seek advice about the impact of their disability on their academic progress and to discuss and agree appropriate reasonable adjustment within the academic context.

DUAC conducts Disabled Students’ Allowances (DSA) Needs Assessments for disabled students who have applied for, and are eligible to receive, the government’s DSA additional funding.

DUSSSS offers specialist one to one tuition to assist disabled students with managing the study related demands of their course.

The Administrator will have responsibility for administrative support to the Head of Department and a team of Disability Support Staff. The main aspects of the role are to provide and oversee a professional and effective front of house service which reflects positively the work of the service and facilitates ease of access for all service users and to contribute to all administrative support functions across a complex, busy and multi-faceted support service. The Administrator will contribute to the processing of financial information to and from the Head of Department and Disability Support staff and contribute to the development of systems and process to further benefit service developments.

Core responsibilities:

  • Provide a responsive and proactive support service for all internal and external stakeholders. 
  • Focus on checking stakeholder requirements to ensure the delivery of excellence with the frontline stakeholder experience.
  • Respond to service users answering and recording standard queries and bookings for activities and/or events through a variety of methods including written, electronic, face to face and telephone contacts.
  • Contribute to the planning of team activities, work and deadlines to ensure the smooth running and timeliness of service, E.g. Arranging and booking staff development activities both internal and external to the organisation.
  • Solve day-to-day routine problems and source background information within the role, E.g. relating to IT equipment and office equipment, carrying out DSE workstation assessments.
  • Record data and information accurately and provide reports as required to team members and more experienced staff, E.g. Declared disability information and statistical reporting.
  • Operate a booking and enquiry service and process requests finding solutions or escalating queries where necessary.
  • Flexible in approach to accommodate the needs of team members and/or service users.
  • Assist team members to organise, plan and prepare for events, meetings and activities.
  • Liaise with internal and external suppliers, contractors and professional specialists to pass on information.
  • Apply professional and regulatory procedures and processes and use of systems.
  • Liaise and collaborate with staff in other areas of the organisation to ensure a seamless, smooth and efficient service.
  • Resolve queries and requests for information and advice and escalate more specialist and complex queries or issues to more experienced team members.

Role responsibilities:

  • Work with team members to ensure the smooth running of administrative processes to support people and business activities.
  • Apply standard professional and recognised regulatory procedures to process, check and reconcile anomalies within data and information sets.
  • Compile, record, store and archive data and information to ensure the accuracy and safety of information.
  • Liaise with representatives from other service areas, professional organisations and agencies where necessary.
  • Use standard office-based digital systems, tools and equipment to carry out data recording, communications and networking.
  • Provide service and support for networks, committees and meetings, to draft and distribute documents and communications in standard professional formats.
  • Process and update key business documentation.
  • Liaise with internal and external suppliers and specialists with the organisation, planning and delivery of services, activities and events.
  • Make venue, catering, travel and/or equipment arrangements for events, meetings and activities.
  • Any other reasonable duties.

Specific role requirements 

There is an expectation the post holder will contribute cover for service events such as Open Days. This may include some evening and weekend working.

Person specification - skills, knowledge, qualifications and experience required

Essential Criteria

  1. Excellent oral and written communication skills.
  2. Proven IT skills, including use of Microsoft Office.
  3. Five GCSE’s at least Grade C or level four (or equivalent) including English Language and Mathematics (or equivalent experience).
  4. Evidence of personal development to maintain skills.
  5. Post-16 qualification or equivalent experience.
  6. Relevant administrative experience in a busy office environment.
  7. Demonstrable ability to provide advice and guidance to a range of customers and colleagues.
  8. Experience of working on the front line with service delivery, and the ability to work under pressure and meet tight deadlines without compromising on quality.
  9. Experience of working in a team.
  10. Ability to solve problems as part of a team and resolve straightforward issues.  
  11. Ability to maintain confidentiality and to exercise discretion and sensitivity in service delivery mindful of the needs of disabled users.

  • Previous experience of working in a Higher Education environment.
