About the opportunity

The School Administration Assistant - Communications and Events works under guidance and is responsible for making decisions in the completion of daily tasks related to functions of the office and their key accountabilities. The incumbent is expected to exercise a degree of initiative and judgement in planning work activity, and resolving problems associated with day-to-day operating procedures directly linked to their key accountabilities.

Your key responsibilities will be to:

  • deliver daily administration activities and services ensuring that high quality and efficient administrative support is provided in a pro-active manner to staff, students, clients and visitors
  • explore administrative matters and prepares advice, recommendations and solutions related to specific projects, policies and operational issues, identifying and ensuring all relevant initiation and/or follow-up of necessary action under broad direction from more senior staff
  • provide timely update of website content as requested, using best practice principles and exercising judgment to ensure accuracy and relevance of publishing information
  • in consultation with the Communication and Events Officer schedule social media posts and actively engage new students and staff to follow the School
  • assist in the drafting and layout of a variety of written documents, reports and presentations at the direction of the Communications and Events Officer and SAM
  • prepare meeting agendas and take meeting minutes for various departmental and administrative meetings.

About you

We are looking for a School Administration Assistant - Communications and Events who possesses:

  • demonstrated ability to interpret and implement policy and procedures and in establishing and reviewing administrative processes
  • excellent computer skills including complete Microsoft Office suite, databases, and web-based software such as Adobe Dreamweaver, Interwoven CMS and HTML
  • excellent time management and planning skills, including the ability to work under pressure, prioritize workloads to meet multiple deadlines, and maintain attention to detail in a high-volume environment
  • excellent verbal and written communication skills, with experience in handling a wide range of enquiries and providing excellent customer service
  • strong problem-solving skills and the ability to use initiative and exercise sound judgement and ability to prioitise workload during busy periods
  • well-developed negotiation, conflict resolution, relationship building, and influencing skills
  • experience working with desktop publishing tools: Adobe InDesign and Photoshop
  • previous experience working in an administrative role.
