Job Description

King’s Online (KO) and King’s Professional & Executive Development (KPED) are part of the School for Professional and Continuing Education and share a joint Operations Team. This role will report to King’s Online (KO) and King’s Professional & Executive Development (KPED) share a joint Operations Team.  This role will report to the KO and KPED Senior Professional Education Coordinator and will work with them to  coordinate Professional Education activities in all modalities (face to face, blended and online) across the breadth of the two departments in line with their business plans. Playing a key part in the Operations Team, they will be expected to take a proactive role in ensuring the two departments operate efficiently and effectively and within university policies and will provide executive assistant support to the Director of Professional Education.    

 

They will be responsible for: 

KO & KPED Operations

  • coordinating discreet cross-department projects assigned by the team, which shall require independent decision-making, forward planning, and production of evaluation reports; 
  • working with the Operations Team to identify, develop and implement process improvements; 
  • liaising with senior administrative colleagues, external organisations and academic stakeholders to build ongoing professional relationships; 
  • using own initiative, judgement and creativity plus established relationships with other Professional Services providers to address non-standard work problems such as internal administrative bottlenecks. Develop workarounds and propose alternatives in evaluation reports; 
  • updating and maintaining the departments’ web pages, ensuring that all published copy is kept up to date; 
  • any other duties commensurate with the role. 

Professional Education

  • developing and managing KPED’s administrative systems and procedures, as well as relevant new guidelines or processes. This includes making general administrative decisions/planning relating to areas such as finance, filing, and databases (including CRM), deciding on how best to store and interpret data; 
  • supporting the development of evaluation forms, design the online evaluation surveys, collecting and analysing the data for monitoring purposes; 
  • creating and maintaining a professional image for the teams and compile case studies for marketing and publicity purposes; 
  • dealing with the various facets of Professional Services, working closely with them to influence and achieve delivery to the requirements of non-standard and external facing teaching; 
  • acting as secretary for Professional Education working groups as needed; 
  • act as the first point of contact for all incoming callers and visitors, manage the shared inboxes and deliver an excellent standard of customer service.  

Open Enrolment Short Course Operations

  • ensuring the efficient setting-up and running of courses: provide relevant reporting, allocate tasks  for the Project Officers support, and work with colleagues to help promote the portfolio effectively; 
  • leading the day-to-day management of Short Courses Approval and Short Course Application & Payment on the relevant systems; 
  • creating and maintaining Open Enrolment Short Course guidelines, explaining relevant processes to departments and providing training for King’s staff on the systems used;   
  • putting forward recommendations to support informed decision making on suitable short course management systems.

King’s Professional & Executive Development (KPED) is a specialist business development unit enabling King’s Faculties to deliver Professional Education to a wide international and domestic audience. We partner with all faculties at King’s to design, develop and deliver open and bespoke educational programmes in line with King's Education Strategy. In face-to-face, blended or online modalities, our programmes include Continuing Professional Development, Executive Education and increasingly, stackable micro-credentials. We are a small, dynamic team with ambitious growth targets in an exciting area of development for King’s.   

 

About King’s Online  

King’s Online was formed in 2015 and develops a range of fully online courses and programmes.  Following the appointment of a new Director, the team is embarking on an ambitious growth strategy and this is one of several new roles being advertised. You’ll be joining us at an exciting time as we seek to redefine online education and realise King’s strategic ambition of being the leading provider of online and blended learning by 2029. 

The role is primarily based at King’s Strand Campus though you may be required to travel to other campuses on occasion. As part of King’s trial of hybrid working, all team members can work remotely for part of the week if they wish.  

This post will be offered on an indefinite contract

This is a full-time  post - 100% full time equivalent

 

Key responsibilities

The above list of responsibilities may not be exhaustive, and the post holder will be required to undertake such tasks and responsibilities as may reasonably be expected within the scope and grading of the post.  

 

Skills, knowledge, and experience

Essential criteria

1.       Degree or equivalent level of qualification 

2.       Excellent communication skills (both written and verbal) 

3.       Excellent organisational and time management skills: the postholder will have a portfolio of projects on-going simultaneously and is therefore required to employ expert multi-tasking and project management skills; regularly review and amend this in the light of any changes to the programme or work priorities 

4.       Previous responsibility for office administration 

5.       Commitment to continuous process improvement, using own initiative to identify and implement more efficient or effective outcomes 

6.       Excellent IT skills and knowledge of databases and web-based activities. 

7.       Excellent attention to detail and forward thinking, including the ability to spot errors and issues 

8.       Some experience of supporting with event organisation and/or assisting in the running of short courses or events either online or in-person.  

9.       Team player who works openly with colleagues to deliver collectively 

10.   Ability to understand and function in the different cultural environments of academia and business 

11.   Be resourceful, curious and act with initiative 

 

Desirable criteria

 

1.       Knowledge and understanding of higher education 

2.       Knowledge and understanding of short course, CPD or Executive Education markets  

3.       Experience of using content management system
