About the opportunity

The Matilda Centre for Research in Mental Health and Substance Use provides a world-first synergy of leading prevention, early intervention and treatment research and translation programs in substance use and mental disorders. The Matilda Centre brings together researchers in broad fields to share skills, integrate data, and harness new technologies to develop and trial innovative prevention, early intervention and treatment programs for substance use and mental disorders.

The Administration Officer provides administrative and operational support to Centre's academic, professional and operational Teams. The Administration Officer will be required to provide extensive professional and organisational support in order to coordinate, manage and undertake a range of administrative activities on a day to day basis. This includes reception, office management, expense reconciliation, guidance advice on policy and procedures, and preparation of a range of agendas and meeting papers.

Your key responsibilities will be to:

  • provide general administrative services, office management and operational support to the Centre
  • resolve problems associated with day-to-day operation and administration of the Centre
  • provide reception duties and general administrative assistance, including greeting visitors, answering phone and email enquiries, providing information, contributing to office projects, assisting in mail outs, photocopying and e-filing
  • provide guidance regarding all Work health and safety policies and procedures
  • review and update relevant online/ web content ensuring that content is up to date
  • create purchase orders, online travel bookings and provide guidance and assistance to staff on the travel and accommodation booking system
  • coordinate meetings, events and provide conference support
  • update databases, extract data and prepare reports
  • organise events, including liaising with internal and external stakeholders
  • provide administrative support to the research teams
  • coordinate meetings, prepare agendas and meeting minutes
  • provide reporting and operational support for research programs
  • provide administrative support for development of research publications and newsletters

About you

  • experience with supporting a leadership team, including diary management, booking travel, supporting in ad hoc requests and reporting
  • excellent verbal and written communication skills, with experience in handling a wide range of enquiries and providing excellent customer service, and the ability to use their empathy and discretion related to sensitive situations
  • experience in finance /accounting activities and systems
  • experience supporting research academics and professional staff
  • well-developed negotiation, conflict resolution, relationship building and influencing skills
  • strong problem-solving skills and the ability to prioritise workloads during busy periods
  • the ability to work both independently and as part of a multidisciplinary team

  • tertiary qualifications in business administration and/or equivalent relevant experience in business administration.
