The Department and role purpose

We currently have fantastic opportunities for talented Food Service Assistant Supervisors. Whilst supporting the Food and Beverage Service Head in guiding and motivating the team to be the best they can possibly be, the Food Service Assistant Supervisor will need to have presence and personality to influence the day-to-day business and you'll need to maximise the performance of your team. We are a team of over 500, providing fresh and exciting catering throughout Durham University. This includes college banquets (‘formal dinners’), college bars, college cafés, visitor attractions and branded retail catering outlets.

Our students are extremely important to us but we also provide catering to University colleagues, commercial guests, and VIPs including royalty.

Food Service Assistant Supervisors are key front-line members of the catering team, responsible for supporting the delivery of a world class catering service.

Food Service Assistant Supervisors will be expected to adopt and promote a flexible approach to working, be willing to cover absences, when given reasonable notice, and to undertake any or all of the tasks outlined below regardless of their designated shift.

Successful candidates are expected to promote a positive image of University Catering and Durham University at all times.

There are 3 roles available

  • 32 weeks x 25 hours per week - 2 posts
  • 52 weeks x 14 hours per week - 1 post

Core responsibilities:

  • Provide a highly responsive frontline catering service to students, colleagues and guests.
  • Explain systems and standard operating procedures to new starters and team members, providing hands on advice and guidance where required.
  • Assist with the provision of ongoing catering team member training and coaching.
  • Delegate tasks and monitor completion across the catering team.
  • Respond to catering service user queries, where appropriate logging and recording queries and information systematically in accordance with procedures.
  • Contribute to the frontline presentation, service, replenishment, cleaning and maintenance of facilities, equipment and resources, demonstrating exceptional standards in line with standard operating procedures and local working practices.
  • Follow a set of pre-determined tasks and objectives, using standard operating procedures, with some discretion for variation, referring to management where necessary.
  • Apply skills and techniques to operate and use a range of catering equipment, tools and resources.
  • Collaborate with team members to identify work flows, timescales and where support is required including other retail and catering areas of the University.
  • Liaise with representatives from other teams/service areas where necessary.
  • Gather and collate data and information for others to use for evaluation and decision making, as required.
  • Operate systems to record and distribute information as required, when received from the Food & Beverage Service Head.

Role responsibilities:

  • Deliver a frontline service to stakeholders with team members within a defined service area for concentrated periods of time.
  • Operate a range of catering tools and equipment efficiently and effectively.
  • Monitor and record changes to the working environment and service processes to ensure the safety, security and hygiene of service products and services.
  • Follow University identification and security procedures when dealing with stakeholders new to a service area.
  • Provide direction to service users about the range of events and activities and how to access them.
  • Complete necessary skills training to deliver a service in a retail, catering or leisure environment.
  • Apply manual dexterity, physical effort and/or sensory skills to carry out work in a defined catering service area.
  • Assist team members where necessary to review and update risk assessments.
  • Respond to first-line queries from suppliers, stakeholders and contacts where necessary.
  • Proactively assist the Food & Beverage Service Head making sure that team members adhere to food hygiene, Health and Safety legislation, policies and codes of practice.
  • Assist the Food & Beverage Service Head with audit and stock control tasks, ordering goods where appropriate, whilst staying within par stock levels.
  • Assist the Food & Beverage Service Head in HR and finance related activities, including recruitment, absence management, annual development reviews, roster planning and timesheets.
  • Any other reasonable duties.

Specific Role requirements:

The post holder will be required to work any 5 days out of 7, which may include some weekends. Typical working hours are evenings during ‘term time’ 5.00pm and 21.30pm.

Working in the catering team requires an element of physical manual handling, which can include lifting and transporting catering equipment.

The post holder will be required to work flexibly in other colleges, retail outlets and other areas within University Catering, to support holidays, sickness and changes in business demands.

Person specification - skills, knowledge, qualifications and experience required

The essential criteria for this role are:

  • Good oral and written communication skills.
  • Experience of working as part of a customer focused, high quality catering team.
  • Experience of supervising a team in a modern high volume catering environment, including high-profile functions.
  • Experience of managing time and prioritising in order to meet deadlines. 
  • Experience of providing advice and guidance to a range of customers and colleagues. 
  • Ability to proactively solve problems as part of a team and resolve straightforward issues. 
  • Good IT skills, including use of Microsoft Office.
  • Experience of working to standard operating procedures.
  • Methodical worker with excellent attention to detail.
  • Works in advance and has a positive ‘can do’ attitude.
  • A commitment to a flexible and hands on style of working that promotes impartiality and a team approach. 

The desirable criteria for this role are:

  • Five GCSE’s at least Grade C or level four (or equivalent) including English Language and Mathematics (or equivalent experience).
  • Level 2 Health & Safety qualification.
  • Level 2 food hygiene qualification.
  • Evidence of personal development to maintain skills.
