Job Purpose

The role is based within the Customer Operations Team in Manchester within Professional Development division. The role sits between the Operations and Online Teams, providing a bridge between the two departments. The position will source external venues for courses that cannot be placed internally.

This role will provide a course management service for Professional Development (PD) courses; comprising of sourcing and negotiating rates with external venues, venue query management, course capacity management and updating the internal booking and learning management systems. This role will have an emphasis on supporting both face to face courses and online courses. You will assist customers, clients and internal stakeholders on a day to day basis and use multiple systems to administer face to face and online courses.

Key Responsibilities:

  • Check that a venue has been allocated to each event by wider BPP Teams or find an external venue at a competitive rate
  • Run daily/weekly reports as appropriate and send to venues
  • Order laptops and any required equipment where required
  • Monitor room capacity and request a larger room if required
  • Communicate last minute changes to the venue
  • Confirm delegate names and course numbers to specific venue in accordance with GDPR
  • Assisting with month end venue accrual processes
  • Help to monitor course capacities to identifying over/under-capacity courses and then apply appropriate action with guidance from Senior Operations Manager
  • Support client new user registrations
  • Run regular imports (CSV) into systems
  • Assist with updating the production schedules, catalogue and online client course lists
  • Onsite support for PD online live delivery via Adobe Connect
  • Onsite support for PD asynchronous recordings
  • Support the asynchronous course development process
  • Creating new or updating courses on PD LMS and store environments
  • Set up programmes in the PD systems for new online courses
  • Support with the PD online mailboxes
  • Manage documents, presentations etc, stored on the PD Online share
  • Support with managing the equipment inventory for PD online
  • Support PD Online with Online live events (In-House and Public)
  • Running reports for Clients
  • Generating feedback reports of PD online products
  • Update the OCR Live tracker

Candidate Criteria

  • Excellent organisational skills and interpersonal skills with the ability to communicate at all levels
  • Ideally, educated to degree level, however applications from candidates with relevant work experience or other equivalent qualifications will also be considered
  • Experience of working towards KPI's and SLA's
  • Ability to negotiate prices/contracts with confidence when dealing with external suppliers
  • Ability to construct professional email/written communications
  • Ability to communicate via phone with customers and staff in a helpful and professional manner
  • Good computer/IT skills including Microsoft Teams, Outlook, Word and Excel
  • Ability to manage complicated operational processes and challenges
  • Able to work under pressure, sometimes to short deadlines
  • High attention to detail and strong administration

  • Able to work well in a team and be collaborative
