Applications are invited for appointment as Records and Information Management (RIM) Archivist (at the rank of Assistant Librarian II) in the University Libraries (Ref.: 504630), to commence as soon as possible, on a three-year fixed-term basis, with the possibility of renewal, subject to satisfactory performance.

Applicants should possess a Master’s degree in archives administration, records management or a combination of relevant education and experience, with at least 1 year’s experience in Archives and Records Management (ARM) programmes in academic, corporate or government settings. Professional qualifications such as Certified Records Manager (CRM) of the Institute of Certified Records Manager (ICRM), Certified Archivist (CA) of the Academy of Certified Archivists (ACA), Digital Archives Specialist (DAS) of the Society of American Archivists (SAA), or equivalent are preferable.  They should have the following essential qualities and skills:

  • knowledge of archival standards, practice and theories, especially OAIS, DACS, ISAD(G) and ISO;
  • experience with ArchivesSpace, CALM and Preservica, or Archivematica, or other content management software as well as digital repositories;
  • working knowledge of issues with electronic records management systems (for instance: e-mails, digital imaging, content management systems, web archiving and metadata such as XML, EAD, EAC, etc.);
  • excellent interpersonal skills to assist departments within the University in improving their records management practices, records transfer, overseeing the maintenance and transfer of the University records, and ensuring compliance with any local and national laws and ordinances pertaining to those records;
  • demonstrated knowledge of management of Records Centre including deposition, retrieval and disposal;
  • the ability to design and lead engaging online or in-person workshops and projects in a flexible, respectable manner;
  • the ability to work effectively and collegially within a team environment with teaching staff, supporting staff, researchers, donors and general public;
  • excellent written and spoken English and Chinese (preferably Cantonese); and 
  • familiarity with current HKSAR laws and ordinances concerning records and archives management as well as other statutory public policies, both governmental and University, that affect the management of the University’s records.
  • Demonstrated knowledge of and experience in digital preservation and data curation are advantages but not essential.

Under the supervision of the Head of Archives and Special Collections and working within a team environment, the appointee will plan, develop and implement the University-wide records management policies and programmes for the University of Hong Kong.  He/She is expected to be knowledgeable to current electronic records management, systems, global standards, and best practices, as well as current trends in the profession. A highly competitive salary commensurate with qualifications and experience will be offered, in addition to annual leave and medical benefits.  At current rates, salaries tax does not exceed 15% of gross income.  The appointment will attract a contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 15% of basic salary.
