BRIEF DESCRIPTION

The Manager, Facilities Management (FM) is responsible for managing the activities of the FM operations that provide soft services, operations, maintenance, and utility services as well as the provision of hard services to all Khalifa University campuses.

DETAILED DESCRIPTION

Strategic Responsibilities

  • Contribute to the development of the Department’s strategy, as well as annual business plans.
  • Contribute to the development of the Department’s policies and procedures, in line with the overall business objectives of the University, ensuring they promote leading practices and excellence. 
  • Contribute to the development and management of the Department’s budgets and report back on a timely basis to ensure those divergences are addressed promptly.

Operational Responsibilities

  • Direct and supervise the FM services including developing/revising policies and procedures for managing such services.
  • Initiate and carry out projects to deliver enhanced or improved services/products, improve efficiency and/or reduce operating costs
  • Select and recommend appropriate suppliers as well as negotiate with suppliers for related services in coordination with the Contracts Unit for preparation/renewal of the contract.
  • Evaluate supplier performance and provide them with feedback to avoid any discrepancies.
  • Monitor the FM Operations budget expenditures against approved budgets as well as approving purchases within the authorized limits.
  • Direct and supervise activities of the operations towards the provision of hard support services including developing/revising policies and procedures for managing such services.
  • Develop and perform corrective and general maintenance procedures for HVAC system, components and equipment.
  • Ensure that campus services are provided in compliance with policies, procedures, regulations and contractual obligations and standards.
  • Oversee the in-house help desk support service, which ensures prescribed service.
  • Monitor planned and reactive attendance by contractors, to all major plant and equipment, as required for maintaining business continuity
  • Review reports of all contractors, certifications, and acts towards the improvement of services.
  • Ensure adherence to the University’s information security policies and procedures, and report breaches or other security risks accordingly.
  • Ensure coordination with other departments to facilitate the accomplishment of tasks and responsibilities, as and when needed. 
  • Perform any other tasks assigned by the Line Manager. 

Supervisory Responsibilities

  • Provide coaching, guidance and mentoring as required to enhance the internal capabilities of the. 
    team and ensure the achievement of established objectives and plans
  • Recommend appropriate training courses as per the pre-determined training needs, evaluate their effectiveness, and monitor their results. 
  • Carry out performance appraisals for subordinates according to planned schedules and recommend necessary actions as per the applied practices. 
  • Conduct periodic meetings with subordinates to ensure that priorities are clear and workflow is running smoothly. 
  • Follow-up on employees’ administrative affairs such as vacations, leaves and other administrative and related affairs. 

JOB REQUIREMENTS

Required Qualification

  • Bachelor in Business Administration or Engineering related field.

Required Expereince

  • Expats: A minimum of 12 years of relevant experience.
  • UAE Nationals: A minimum of 8 years of relevant experience.
