Under routine to general direction, the Administrative Assistant (Student Support) will provide student focused administrative support for rural based curriculum, student teaching, rural health placements and learning activities as part of the Department of Health Rural Health Multidisciplinary Training (RHMT) program in the Barossa Valley region of South Australia.

The position will provide support to rural based learning programs across all health disciplines and assist in the operations of the local Clinical Skills Simulation Unit for student practical teaching and assessment sessions.

The role will be based at the Nuriootpa Campus and the incumbent will be required to live within the region.

Key Position Responsibilities

The Administrative Assistant (Student Support) is accountable for: 

  • Assisting the provision of consistent and high-quality administrative services for student, teaching and learning activities to ensure successful outcomes and experiences for students undertaking rural programs.
  • Assisting with timely and accurate data entry and maintenance for a wide range of student data in University systems including timetabling, results entry, Medicare placement documentation and student information for internal and external partners. 
  • Managing financial related data including but not limited to; processing student support related invoices using on-line accounting systems, data tracking of expenditure and reconciliation of corporate credit cards as requested.
  • Assisting in the operations of the local Clinical Skills Simulation Unit, including the setting up and dismantling of specialised medical student practical teaching and assessment sessions, ensuring equipment is clean, functional and is stored appropriately.
  • Providing support in ordering and maintaining appropriate stock of medical equipment and consumables as needed for teaching activities as well as maintaining a register of consumables, equipment and maintenance schedules.
  • Assisting with the administration and delivery of special projects and functions, e.g. cultural field trips, community engagement, student assessments, other student related activities and international visitors as required.
  • Arranging appropriate travel and accommodation for visiting teaching specialists, staff and Year 1 and 2 MD Cohort students, whilst adhering to University policy and procedures.
  • Providing first level IT support to student related video conferences and on-line learning activities.
  • Contributing to the strength of positive relationships with internal and external partners and community.
  • Any other responsibilities in line with the level of the position as assigned by the Supervisor and/or the University.

Some out of hours work and intrastate travel will be required, a current SA Driver’s Licence is essential.

Key Position Capabilities

  • Completion of a certificate qualification relevant to administration, and/or an equivalent combination of relevant experience and/or education and training.
  • Effective organisational skills with the ability to prioritise and meet deadlines in a complex and busy environment.
  • Effective oral and written communication skills, including the ability to produce quality reports and correspondence, process financial transactions and monitor expenses.
  • Well-developed IT skills including proficiency in Microsoft Word, Microsoft Excel, databases, Internet and the ability to quickly become competent with other systems and programs as required. 
  • A commitment to providing support to students including the ability to discern when matters raised need to be referred to senior staff.
  • Demonstrated ability to work co-operatively with team members, including those at other rural campuses, to share information and ideas and to collaborate in achieving outcomes.
  • Demonstrated ability to liaise positively with a wide range of community and health professionals.
  • Understanding of the implications of living in rural and remote environments.
  • Experience with medical technical equipment. (Desirable)
  • Broad knowledge of the University environment. (Desirable)
