ADMINISTRATIVE ASSISTANT 2, Materials Science and Engineering (DMSE), to provide administrative support for multiple faculty members. Responsibilities include researching and resolving complex problems; ordering supplies and change orders using B2P; managing credit card charges; handling requests for payment; making complex travel arrangements and processing travel expense vouchers; assisting faculty with course preparation and maintenance of teaching tools in a remote setting; acting as a liaison with DMSE HR in processing appointments and visas for visitors; participating in quarterly financial meetings with DMSE headquarters’ research administrator and faculty members, liaising with DMSE finance staff if requested; greeting and directing visitors; acting as a resource for lab members regarding MIT-related issues; onboarding new group members; preparing correspondence and manuscripts; maintaining calendars; scheduling appointments and arranging associated logistics; coordinating meetings and seminars; responding to inquiries and telephone calls; distributing mail; shipping documents; maintaining office equipment and contracts; and performing other duties as assigned. 

Job Requirements

REQUIRED:  at least three years’ direct/related experience in a professional administrative support position; strong interpersonal, organizational, problem-solving, and written and oral communication skills;  tact, good judgment, and discretion with confidential information; attention to detail; initiative; proficiency with MS Word, Excel, and PowerPoint; ability to learn and become proficient with databases, file sharing tools, teaching and communication tools in a remote setting, online scheduling software, web development, and additional applications such as Adobe Acrobat Reader. Must be able to interact effectively with a diverse group of research staff, students, and visitors; both exercise independent judgment and work within a team-oriented setting; anticipate needs; and successfully balance and prioritize workload. 

PREFERRED:  bachelor’s degree and MIT or other university experience.

Hiring salary range: $42,600-60,000
