Job Description Summary

The Research Financial Coordinator serves a diverse set of functions consisting of primary administrative financial support and for the Division of Infectious Diseases.  This position provides financial support coordinates and monitors the flow of all transactions related to financial activity including purchasing, accounts payable, travel reimbursements, budgetary and payroll transactions. The person in this position will be to support the Research Administration in generate monthly grant reports. Will generate requisitions for purchase orders for supplies, equipment, etc. for grants and projects and help with company payments. She/He will maintain logs of all ordering for the various grants and projects.

This role requires excellent interpersonal skills and the ability to interact effectively with faculty, as well as the ability to exercise discretion in working with confidential and sensitive matters. Excellent verbal and written communication. Other Penn Medicine duties as assigned.

Job Description

Duties:

  1. Enter purchase orders, process invoices and non-PO payments, run and reconcile reports, correct transactions for the Research Administration office,  Act as primary default reviewer for electronic expense reports.  Maintain logs of all ordering for the various grants and projects.  
  2. Complete monthly budget and expense journal entries as needed. Reconcile and correct fiscal year activity such as suspense, anticipated resources, residual balance transfers of clinical trials
  3. Participate in the annual budget process and monthly financial analysis for sponsored programs, gifts, endowments, chair commitments and other university accounts
  4. Generate Travel and other reimbursement report using Concur. Serve as a default reviewer and a liaison for question and concerns regarding travel and reimburse policies.
  5. In collaboration with the Manager of Administration and finance; participates in audits of purchasing cards, purchase orders and ensure adherence to financial systems policies.  Manage systems approval hierarchy and roll-up  
  6. Support Grants Manager and Grants Coordinator in closeout of all purchase orders and assure all payment are process in a timely manner.
  7. Generate monthly grant reports for all PIs in the division using UPENN financial systems. Identify and correct any wayward generated in a monthly basis.
  8. Perform additional duties as assigned (

The qualified applicant will assume responsibility for daily financial transactions on university systems for the research administration including POs, invoices, reporting; ensure smooth flow of all paper moving through offices including sponsored project proposals, protocols, requests for payment, etc.; maintain electronic and paper files of sponsored projects; assist PIs as needed in day to day research financial activities.

High School degree and 5 years of experience or an equivalent combination of education and experience required. Associates degree or equivalent, 2-3 years of experience in similar position preferred.  Experience in Penn’s administrative systems a plus, but not required.  Excellent interpersonal and communications skills.  Ability to work independently, under pressure of deadlines, be flexible and contribute positively to a dynamic business environment.
