Job Description Summary

Under the supervision of the Grants Manager, the Grants Coordinator A will assist with the preparation, review and submission of sponsored program programs through the internal review process for submission to the sponsor, assuring compliance with the department, school and university guidelines. Activities include, but not limited to preparing pre-award budget/justifications, provide guidance on policies and procedures related to sponsored programs and resolution of related issues with the investigators. The individual will also act as a liaison between the faculty, administrative staff and various internal and external contacts. Prepare reports for review by the Grants Manager to apprise investigators on their funding status. Will monitor grant expenditures for allowability with funding policies.

Job Description

Grant Coordinator A- Under the supervision of the Grants Manager, the Grants Coordinator A will assist with the preparation, review and submission of sponsored program programs through the internal review process for submission to the sponsor, assuring compliance with the department, school and university guidelines. Activities include, but not limited to preparing pre-award budget/justifications, provide guidance on policies and procedures related to sponsored programs and resolution of related issues with the investigators. The individual will also act as a liaison between the faculty, administrative staff and various internal and external contacts. Prepare reports for review by the Grants Manager to apprise investigators on their funding status. Will monitor grant expenditures for allowability with funding policies.

Grant Coordinator B- Under limited supervision, the Grants Coordinator B will be responsible for the preparation, review and submission of sponsored program proposals for submission to sponsors. Will function as a resource for sponsored program guidelines, policies and procedures.  Will support monthly Principal Investigators budget meetings, start up tracking and wayward journal review. The individual will also assist the Grant Manager in preparing and reconciling monthly BEN/Business Object reports, prepare and enter journal entries and other financial transactions with BEN Financials, Concur and PennWorks. Will provide financial monitoring and reporting for sponsored programs including foundations, federal and other agencies.  Post award duties include award set up and management for financial and regulatory compliance, meeting regularly with investigators for expense reporting and projects, and processing reports and transactions, including subcontract activity from start to close out.

Qualifications

  • Grant Coordinator A- Associate's Degree or Two Year College with 2-3 years of related experience or equivalent combination of education and experience is required
  • Grant Coordinator B- Bachelor's Degree with 2-4 years of related experience or equivalent combination of education and experience is required
