Position Focus:

The STEM Program Evaluation and Research Laboratory (STEM-PERL) in the Department of Ecology and Evolutionary Biology at Yale University seeks a Program Administrator to join a vibrant, productive team in their mission to improve college-level STEM education. Reporting to the Director, the Program Administrator will contribute to two key initiatives; supporting the Howard Hughes Medical Institute (HHMI) Campus Grant, which seeks to increase institutional and departmental support of teaching and improve student performance, persistence, and diversity in the sciences at Yale. The Program Administrator will collaborate with STEM-PERL team members and Yale faculty to manage the evaluation of and communication across distinct program components that focus on course-based undergraduate research experiences.

The Program Administrator will also contribute to evaluation outcomes reporting and dissemination of several STEM education research projects sponsored by the Howard Hughes Medical Institute (HHMI) and the National Science Foundation (NSF) as part of a national effort supporting widespread college STEM education reform. For example, one project involves a large-scale evaluation of college-level STEM instructors and administrators implementing evidence-based teaching practices (e.g., active learning, inclusive teaching, effective assessment) and/or course-based undergraduate research experiences (CUREs). The Program Administrator will contribute to communications, reporting, project management, and data management for these grants.

Responsibilities:

  • Work with the STEM-PERL Director to operationalize and implement strategic plans for evaluation projects, including timeline development, materials management, data collection, and internal and external reporting.
  • Facilitate communication among HHMI Campus Grant leaders via written updates, meetings, and showcase events. Assist in communicating evaluation findings to funders and stakeholders to at Yale through meetings, presentations, and reports, to promote programs’ sustainability.
  • Manage progress and strategy for Yale STEM education development programs on the HHMI Campus Grant, in support of the grant PI. Channel resulting information into progress reports and qualitative evaluations.
  • Implement evaluations and analyze data from HHMI Campus Grant programs.
  • Manage the process of yearly grant reporting across projects for STEM-PERL.
  • Establish and implement strategies for dissemination of project-related activities, evaluation outcomes, and program successes.

Essential Duties

  1. In support of the overall mission, plans, directs and oversees programmatic activities.
  2. Develops, implements, and maintains operational policies and procedures.
  3. Manages program communications; identifies outreach potential, and promotes philanthropic and collaborative support of the program.
  4. Works closely with leadership, internal and external colleagues, and community residents to further develop and implement strategic plans.
  5. Identifies, solicits, and cultivates community partnerships and collaborations to assist in the development and growth of the program.
  6. Tracks all program activities and regularly informs leadership of progress on each initiative. Recommends structural or programmatic adjustments, changes or additions based on full knowledge of missions, goals, and objectives. Develops metrics to identify and measure the success of the program.
  7. Assists in identifying and evaluating potential future funding sources, and contributes to the submission of grants and contracts supporting the program, including the annual submission and writing of all content areas and budgetary sections of grant applications.
  8. Develops and manages the program's operating budget.
  9. Manages the administrative infrastructure of the program. Manages human resources including staffing and hiring, supervision, performance development, counseling and discipline, if warranted. Oversees and manages information systems, facilities, and space needs.
  10. May perform other duties as assigned.

Required Education and Experience

Bachelor's Degree in a related field and two years of related experience or an equivalent combination of education and experience.

Ability to handle multiple complex projects with deadlines, balancing effort between teamwork and individual initiatives.

Ability to manage grant funded or academic programs.

Strong organizational, written and verbal communication skills.

Required Skill/Ability 4:

Ability to work comfortably within interdisciplinary academic environments and collaborating closely with professors.

Ability to work independently and take initiative by showing leadership in key areas of responsibility.

Preferred Education, Experience and Skills:

Experience in project management, college level science education research, and systems evaluation. Knowledge of database systems, computer and web programming. Work experience in undergraduate education.
