HEADQUARTERS’ ADMINISTRATIVE ASSISTANT 1/RECEPTIONIST, Office of Graduate Education (OGE), to provide administrative support to OGe office staff and senior associate dean. Will serve as the first point of contact for telephone calls, emails, and general inquiries; help triage calls for the graduate support team; provide scheduling and general support for the OGE’s grad support and communications teams; maintain, schedule, and update travel arrangements; assist with event planning; gather, sort, and distribute office mail when staff are on-campus; compose and edit basic documents and reports on behalf of OGE; monitor and respond to inquiries to various OGE email listservs; assist the communications team with the OGE newsletter, website, and mentoring program; handle maintenance of office mail lists; manage OGE staff report and Slack communications channel; manage the student hardship fund requests, triaging, updating staff, assigning projects, etc.; and perform other duties as assigned.
Job Requirements
REQUIRED: high school diploma or its equivalent; at least two years’ receptionist and office support experience in a team-oriented environment, preferably within higher education or MIT; excellent communication, interpersonal, and organizational skills; attention to detail; flexibility; ability to set priorities, balance and follow through on multiple and varied tasks while meeting deadlines, and to follow through on projects; discretion and good judgment with confidential information; evidence of ability to anticipate next steps, take initiative, and work independently; and proficiency with Microsoft Office (Word, Excel, PowerPoint) and ability to learn new software/programs quickly. Starting salary range: $18-22.00/hour
This is a one-year term appointment with the possibility of renewal.
