Job Purpose:

Stanford University- Faculty Staff Housing (FSH) seeks an experienced real estate asset professional with a background in property management who can: Perform property management duties under minimal supervision to help administer and support FSH programs and functions. Complete complex finance functions and/or activities requiring knowledge and application of industry practices, internal policies, external regulations, precedents, and systems.

Property Acquisitions/Dispositions

  • Assist with property acquisitions and dispositions.  Includes touring prospective buyers, preparing purchase offer/sales contract documents and disclosure materials throughout the escrow process to close the transaction. 
  • Provide exceptional client service during the home orientation period with homebuyers and external property management or warranty company.
  • Prepare requests to fund property acquisitions for internal accounting/budgeting approval, title company escrow instructions, closing documents, wire transfer funding requests, and e-filing of all transaction related documents. 
  • Confirm the asset acquisition/disposition is properly entered into the FSH database system.

Property Management

  • Financial Analysis:
  • Monitor and review property expenses versus budgets.
  • Run reports and reconcile income and expenditure statements.
  • Research and resolve variances.

Program Oversight:

  • Monitor and manage external property manager regarding the maintenance of University owned properties.

General Administration:

  • Regular property visits to meet with property management personnel, realtors, or contractors.
  • Tour property to assess furniture, fixtures, and equipment (FF&E), and other capital improvements.
  • Provide direction and monitoring of property maintenance and capital projects ensuring compliance with current FSH standards.
  • Assist with risk management functions, such as tracking compliance with property taxes and insurance requirements.
  • Monitor and correspond with borrowers, homeowners, and renters who become out of compliance with FSH programs, building regulations, etc.

Project Management

  • Assist and oversee the preparation of properties for sale.  Includes oversight of external property manager to obtain property reports (pest, property inspection, other specific property condition reports, appraisals, photos, floor plans).
  • Prepare a Scope of Work for contractor remodel items, review bids, oversee project management, and sign off on work completed.
  • Prepare request to fund property capital projects for internal accounting/budgeting approval.
  • Prepare property listing information for sale on the FSH website. 
  • Coordinate launch of the sale with FSH IT staff.  
  • Perform and/or assist with special management related projects as required.

Property Administration

  • Review and approve applications for home improvements on campus homes.
  • Review and approve building plans using Building Subdivision Regulations and land use policies.
  • Assist homeowners through approval and/or variance request process.
  • Recommend creative solutions that meet homeowners' needs, as well as comply with policies and regulations.
  • Calculate and enforce setbacks that define the buildable area.
  • Interface with architects, contractors, and municipal representatives.
  • Conduct site visits to evaluate progress and post notices of non-responsibility.
  • Create and maintain all records, including those recorded by the local municipality.
  • Update, process and file all documentation related to the requirements and process of home improvement project approval.

Qualifications

Education and Experience:

Bachelor’s degree and three years of relevant experience, or combination of education and relevant experience.

Real estate license preferred or desire to obtain license within two years.

  • Develop in-depth knowledge of the housing market through market research, surveys, and outreach. Said knowledge shall include landlord-tenant laws and building permit requirements.
  • Participate in the maintenance of FSH database content regarding employees eligible for housing programs.
  • Compile and reconcile information from the FSH database, and other systems to produce various reports for review by upper management, University departments, and others.
  • Attend trainings pertaining to the position.
  • May act as a lead and provide direction and training to less experienced staff.

  • Demonstrated knowledge of financial systems, and business applications such as Microsoft Office suite, especially Excel.
  • Proficient with computers and the internet.
  • Valid driver’s license and ability to travel to multiple sites required.
  • Job is intermittently sedentary, but requires mobility (i.e. climb stairs,) to tour properties, regularly.
  • Job will require some repetitive motion of hands/wrists in using computer, etc.
  • Job may require some light lifting.
  • May infrequently work extended hours. Travel to sites in general vicinity of the University.
