ADMINISTRATIVE ASSISTANT, MIT Libraries, to provide high-level administrative support for two senior-level leaders--the deputy director and associate director for research and learning. Will work within a collaborative team environment, in partnership with the administrative assistants’ team that supports a myriad of administrative projects/initiatives. Responsibilities include handling calendaring, travel arrangements, and other administrative tasks; maintaining files, websites, emails, and other records; coordinating logistics for a variety of events; receiving visitors and vendors to the director’s office suite; supporting local facilities operations, e.g., tracking issues, coordinating equipment, space, etc.; procurement and financial support, e.g., generating reports, purchasing/managing supplies, reimbursements, etc.; supporting other administrative team members; onboarding/training staff; and performing a variety of other duties.
Job Requirements
REQUIRED: high school diploma or its equivalent; three years’ administrative/office/related experience; advanced-level computer proficiency with Windows and Word, Excel, PowerPoint, and Outlook software and comfort learning additional programs/systems; excellent administrative, organizational, and written and oral communication skills; attention to detail; initiative and ability to anticipate needs; commitment to supporting/advancing the Libraries’ equity, diversity, inclusion, and social justice effort; and diplomacy and ability to work effectively with a diverse group of people. Must be able to multitask and manage competing priorities in virtual and on-campus environments and bring tasks/projects to full completion, analyze and solve problems, work with minimal supervision and despite frequent interruptions, and exercise independent judgment and discretion in a dynamic environment.
PREFERRED: work experience in an academic environment or research library; MIT experience; exposure to project management techniques/tools; and experience with Atlas, Concur, SAP, CMSs, wiki management, Visio, Adobe Creative Suite, and Asana (or other task management system). Job #19080-5
